Job description

PURPOSE:
The Employee Experience Specialist is responsible for payroll and benefits administration and will assist the Employee Experience Manager in the administration of employee engagement programs. This person will be responsible for having a base knowledge of all human resource functions. Will be responsible for providing employee benefits information and guidance to all staff. They will promote and maintain the credit union’s mission, values, and culture. They will have exceptional communication skills and service to employees will be a priority. This role sets the example of an engaged employee and supports employee engagement throughout the credit union.
Responsibilities:
  • Must effectively carry out the essential duties and responsibilities of this position in a manner that consistently demonstrates First Alliance’s mission and core values in a positive manner.
  • Payroll Administration
    • Responsible for timely, accurately, and compliantly processing the Credit Union's bi-weekly payroll.
      • Audit and process payroll documents.
      • Process employee data for new hires, changes, additional earnings, etc.
    • Responsible for other payroll duties including reconciliation of EE related invoices and ensuring timely payment, submitting payroll accrual (with management approval) and working with accounting on general ledger reconciliation for payroll items.
    • Makes recommendations for payroll related policies.
      • Provides training as needed (i.e. Managers and staff) to ensure compliance and full utilization of tools.
    • Prepares and maintains employee files, assuring accuracy, compliance, and confidentiality.
    • Develops in depth understanding of payroll software. Creates reports as needed.
    • Maintains vendor contact for payroll other EE related activities
  • Benefits Administration
    • Acts as a liaison between the benefits broker/EE Manager and the employees.
    • Works with staff to complete benefits enrollment and updates all deductions in the payroll administration software accurately and timely.
    • Assists employees with benefit changes throughout the year due to life events that include birth of a child, marriage, etc.
    • Completes monthly benefits Invoicing
  • Employee Experience Administration
    • Working directly with the Operations Specialist/Trainer on coordination of new employee onboarding
    • Sends out new employee and terminated employee checklists to appropriate departments.
    • Maintains the accuracy of information in compensation software for salary, job title, department, manager, etc.
    • Performs yearly EE0-1 Reporting
    • Performs yearly ACA Audit
    • Assists EE Manager with maintaining Employee Experience Workplace Compliance postings
    • Other items as assigned by the Employee Experience Manager.

QUALIFICATIONS:
1. Education/Certification
  • College graduate/certificate in HR related education.
  • SHRM CP certificate preferred.
2. Required Knowledge
a. General knowledge of Credit Union policies and procedures preferred
b. Understanding of Human Resources compliance and regulations. Certifications preferred.
3. Experience Required
a. Two to Three years of experience in Human Resources required, including payroll, benefits, and general HR compliance.
4. Skills/Abilities
a. Excellent communication and public relations skills
b. Ability to work well under pressure
c. Ability to use a personal computer and related software applications including Microsoft Word, Excel, and Power Point.
PHYSICAL REQUIREMENTS OF THIS POSITION:
  • Finger Dexterity
    • Using primarily fingers to make small movements such as typing, picking up small objects or pinching fingers together.
  • Talking
    • Clear communication where one must frequently convey detailed or important instructions or ideas accurately, loudly and quickly in front of small and large groups.
  • Average Hearing
    • Ability to hear average or normal conversations and receive ordinary information.
  • Average Visual Abilities
    • Average/ordinary visual accuracy necessary to prepare or inspect documents and products or operate machinery.
  • Physical Strength
    • Sedentary work-sitting most of the time. Occasionally exert up to 30 lbs. of force.

MENTAL REQUIREMENTS OF THIS POSITION:
  • Reasoning Ability
    • Ability to apply common sense understanding to carry out detailed and involved instructions and to deal with problems involving a few variables.
  • Mathematics Ability
    • Ability to perform very basic math skills including addition, subtraction, multiplication and division of two-digit numbers.
    • The four basic arithmetic operations with money and operations with units such as inch, foot, yard, ounce and pound.
      • Including their metric counterparts

WORKING CONDITIONS:
  • Standard office conditions.
