Basic Function
Serves in a support position and as initial and central point of contact between potential and current clients assisting Edgar’s Hospitality Group at designated locations with the communication and detailing of business to ensure they have the information necessary to meet and exceed customer expectations.
Responsibilities
- Be aligned with and energized by Dr. Helms’ faith-based social enterprise model to eliminate poverty one career at a time.
- Assist with the coordination and ensuring of mission moments for campus location customers & events.
- Work and support the needs of Edgar’s Hospitality Group leadership, primarily the Director of Hospitality (Director of Catering & Events)
- Answer calls, Request for Proposal, Request for Information via website, relay messages, assign and communicate EHG follow-up person.
- Provide requested information to callers, patrons, members, and potential clients as needed concerning venues.
- Conduct venue tours as necessary and requested.
- Qualify leads for events and set them up in the event system (includes setting up GW number, sending initial information and follow-up literature and information, etc.).
- Follow up with event leads and update status.
- Create, maintain accuracy, and communicate to EHG team updated BEO’s (Banquet Event Orders) for events.
- Confirm events with clients and obtain final approval and guest counts. Ensure that any changes are properly communicated.
- Send out BEO’s on a weekly basis, or more often as needed.
- Update Open table and other systems as needed to synchronize with the event system.
- Update menus and database of information in Reserve Cloud.
- Assist with timely customer feedback response for designated EHG venues.
- Assist with making restaurant reservations.
- Assist with decorations and décor for designated areas.
- Process payments for clients (cash, check, credit card) and post to accounts.
- Create prep lists for events when needed.
- Work closely with Event Manager, Director of Sales & Catering, Director of Culinary, Chefs, to ensure successful execution of events.
- Close events in RC and send thank you letters/notes to clients.
- Carry on-call catering cell phone if needed to answer calls (take shift).
- Keeping current, updating, and printing menus as needed
- Conduct any administrative function necessary to support designated EHG facilities and for successful selling, closing, and execution of event.
- Assist with purchasing & receiving of necessary supplies for requested EHG areas.
- Perform reconciliation of cash drops and ensure timely accurate deposit to bank.
- Balance and conduct reconciliation of petty cash reports and ensure accuracy.
- Ensure necessary office supplies are maintained and ordered according purchasing procedures.
- Proof, ensure accuracy, and printing of menus.
- Submit and monitor the progress of marketing request forms as directed and update the marketing calendar for your respective areas.
- Assist with scheduling of menu tastings, client appointments, designated meetings, etc.
- Provide administrative and any other support needed to the Director of Hospitality and Edgar’s Hospitality Group
- Provide exceptional service to internal and external clients, functioning as a positive and contributing member of the Hospitality team.
- Perform other duties as assigned.
Education and Experience
- High school diploma or equivalent required.
- Associate an/or College undergraduate degree preferred in Culinary, Hospitality, Business, or a related field
- Combined 3 plus years in hospitality-related fields such as restaurant, hotels, resorts, private clubs, catering required
- Proficiency, skill, and aptitude with various point-of-sale systems, industry software, and Microsoft applications required
