Job description

The EEO Affirmative Action Specialist oversees, leads, and educates the Maxim Headquarter and Homecare division on compliance with maintaining Affirmative Action plans and complying with all requirements under the Office of Federal Contract Compliance Programs (OFCCP) and local state AAP rules. This individual works with the Employee Relations Manager and Vice President of Human Resources and consults with regional leaders, supervisors, Maxim counsel and outside vendors to oversee all aspects of Maxim’s Affirmative Action planning and activities. The EEO Affirmative Action Specialist collects and reports on Affirmative Action planning activities completed by the business and provides recommendations for developing companywide policies, processes, procedures and recommends solutions to further Affirmative Action initiatives.

Essential Duties and Responsibilities:
  • Oversees and leads the company’s Affirmative Action Plan (AAP) ensuring compliance with all OFCCP and local state AAP requirements to include organizing the data collection and submission process for the annual plan and any subsequent audit procedures
  • Audits survey results, conducts statistical analysis, educates and disseminates Affirmative Action programs, demographic results and associated annual goals to internal stakeholders with action-oriented programs monitoring progress for the proceeding plan year
  • Partners with IT and HRIS team members to accomplish solutions to company processes impacting data collection and retention needed to maintain AAPs by collaborating with various Headquarter departments for leveraged services (i.e. Information Technology, HRIS, Talent Acquisition, Employee Relations, Payroll, Legal, etc.). This includes, but is not limited to, data retention related to personnel transaction records throughout the employee lifecycle, applicant tracking data, self-identification data, etc.
  • Regularly reviews policy statements and processes related to the company’s EEO, AAP, accommodations and human trafficking procedures, to ensure compliance with OFCCP and local state AAP requirements identifying recommendations to leadership and implementing changes as necessary
  • Conducts focused reviews on job descriptions specifically on physical/mental job requirements and other qualifications, identifying recommendations to leadership and implementing as necessary
  • Audits and collaborates with Talent Acquisition and business leadership to ensure all job postings are listed with the state or local Employment Service Delivery System (ESDS) office, and all postings include the required EEO statements
  • Maintains voluntary self-identification information of all applicants (pre and post hire) and regularly conducts self-identification surveys for current employees based on company’s policy
  • Provides training and recommendations to business leaders for outreach opportunities while monitoring, documenting and retaining all activity completed
  • Manages the relationship and system with Maxim’s AAP third party agency to manage our AAPs
  • Completes the certification process for all of the company’s AAPs in the OFCCP portal by the annual deadline
  • Responds to requests for copies of Maxim’s AAP by utilizing the AAP portal provided by the company’s third party agency
  • Conducts independent business analysis of workforce data to create concise presentations for leadership relating to AAP efforts to accomplish annual plan goals and to comply with the OFCCP regulations for maintaining AAP
  • Provides ongoing training to business leaders around non-discriminatory hiring, outreach efforts, and accommodations.
Minimum Requirements:
  • Bachelor’s Degree preferred
  • At least three years of experience working with an Affirmative Action Plan under the OFCCP or related HR experience is required
  • Working knowledge of HRIS and data analysis is strongly preferred
  • Experience working in a multi-state organization is preferred
  • Skilled in Microsoft applications, including Microsoft Excel is required
  • Skilled in organization and detail-oriented is preferred
  • Must be proficient in the English language required
