Our Editorial Assistant will be responsible for a wide range of administrative, project coordination, and editorial support activities for the AORN Journal. This person will work directly with the Associate Director and Senior Managing Editor on Journal projects and tasks. They will also support the Editor-in-Chief (EIC) by performing tasks related to manuscript pre-flighting, peer review, reporting requirements, etc., and other tasks tied to the online manuscript and submission tracking system (i.e., ScholarOne) for which they will serve as the Administrator. They will also be responsible for managing Journal-related e-mail communications, handling administrative duties (e.g., check processing), and troubleshooting issues as they arise, ensuring that tasks are completed correctly and on time.

 

AORN is based in Denver, CO. Our Editorial Assistant will work remotely.

 

More about what you’ll get to do as our Editorial Assistant:

  • Serves as the ScholarOne Administrator, which includes processing and preparing all new manuscripts with pre-flighting requirements (e.g., checking for completeness, verifying word count, running plagiarism detection software reports) and assigning to EIC. Performs immediate acceptance for columns and other specific article types. Serves as a troubleshooter for the EIC and Editors. Maintains peer reviewers in ScholarOne. Coordinates with publisher regarding needed ScholarOne modifications and/or training. Communicates 30- and 60-day status updates to authors with active manuscripts.
  • Creates, maintains, and distributes reports, including monthly issue lineup notes, pipeline status reports, ScholarOne overdue task reports, performance reports, and other reports as needed.
  • Manages the Journal inbox and other e-mail communications to members and various constituents; this includes scheduling and proofing of publisher-deployed e-mails.
  • Manages the Expo poster collections for six Journal issues a year.
  • Manages the monthly Journal web assets for aornjournal.org and aorn.org.
  • Enters Journal continuing nursing education (CNE) article info (title, authors, number of credit hours) into Digital Ignite each month and shares with appropriate stakeholders.
  • Coordinates the Journal photo contest, including receipt of images and captions, management of spreadsheet with submitter information, presentation to Publications Department team members, coordination of design and clinical reviews, acquisition of permissions, and notification of winners.
  • Collaborates with the EIC and clinical editors to coordinate the Writers Contest process.
  • Supports the scheduling of external events and meetings for the Journal.
  • Supports the planning, requesting, and creating of Expo deliverables and activities for the Journal.
  • Processes check requests.
  • Coordinates administrative tasks with the publisher (e.g., web requests).
  • Other duties as assigned.
Qualifications

Must Have’s to be our Editorial Assistant:

MINIMUM QUALIFICATIONS

  • Bachelor of Arts in Journalism, English, Publishing, Technical Writing, or related field.

 

PREFERRED QUALIFICATIONS

  • Previous experience working on publications.
  • Knowledge of American Medical Association (AMA) style guide.
  • Previous experience working with scholarly, peer-reviewed publications in the medical or scientific fields.
  • Previous experience working with online manuscript and submission tracking systems.

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Strong grasp of grammar and language use.
  • Attention to detail.
  • Critical thinking skills.
  • Deadline driven, able to manage multiple tasks simultaneously, and able to work efficiently under pressure; strong time-management, organization, and prioritization abilities.
  • Proficient in Microsoft Office software suite, including Word and Excel.
  • Comfortable using various technologies and applications (e.g., Adobe) in a publishing environment.
  • Excellent communication skills, both verbal and written, as well as strong organizational and interpersonal skills.
  • Ability to work collaboratively and independently, particularly in coordinating and completing projects.
  • Ability to cultivate positive relationships within the department as well as outside the department, and with AORN’s members and partners.

WORKING CONDITIONS
Remote work environment, using a computer, telephone and other office equipment daily. Ability to travel as needed to support departmental and Association functions.
