POSITIONSUMMARY:
The Dual EnrollmentOffice Professional is an integral member of support to the strategic enrollment initiatives of Delta College. Primarily serves current high school students pursuing Dual Enrollment or Early Middle College education, our secondary partners, and provides a high-level of complex, responsible, and confidential support duties for the office support to the Welcome Center and Associate Director of Admissions and Dual Enrollment related to those duties. This position assists, requests, and tracks dual Enrollment and Early Middle College registrations, enrollment authorizations, student billing, composes departmental communications, accurately conveys student and college policies, pulls data, and provides schools with Enrollment and grade reports, troubleshoots student inquiries and technology concerns, and assists with class scheduling. This position will work closely with the dual advising team, admission representatives and regional high school counselors to track incoming DE/MC students through the enrollment process and ensure dual students can access proper advisement of courses prior to registration. This person will communicate with Dual Enrollment secondary partners and internal departments to enroll and register students, along with resolving issues as needed related to billing, bookstore, waitlists, refund policy, accommodations to assist with retention, and transfer purposes. Primarily, this position will support the Associate Director of Dual Enrollment by coordinating and implementing all the office procedures necessary to complete the Dual Enrollment process. The position is a key contact person for all Dual Enrollment inquiries.
This position also works as part of a team to support the College’s main Welcome Center for students, visitors, and community members. Provide excellent customer service for the front desk, monitor office traffic assists with multiple department multi-phone lines, and main departmental email inboxes, assists with supervision of daily student employee tasks, and assists with secondary partner student event requests. This position works closely with the Welcome Center staff of Admissions, Secondary Articulation, and other College departments as necessary, but also works independently, with the ability to prioritize and organize a wide variety of concurrent assignments and projects, meet deadlines some of which may be given on very short notice, exercise independent judgment, discretion, and initiative in performing complex assignments.
It is essential for this position to provide outstanding customer service to prospective students, parents, high school and college partners, and the community we serve via phone, email, and in-person interactions. Additionally, this position will support the Office of Dual Enrollment, and the Welcome Center by managing and facilitating inquiries as well as office traffic to guide students through the enrollment process and connect them to other resources and services on campus as needed. This position is recognized as the primary resource person and must have a broad knowledge of college and department policies, procedures, technologies, and operations. This position requires a high level of communication skills and because of the busy environment of the office; this position must be able to independently work on tasks simultaneously to meet deadlines, handle high volumes of calls and emails and represents the college in a welcoming manner.
ESSENTIALDUTIESANDRESPONSIBILITIESINCLUDEBUTARENOTLIMITED TO THEFOLLOWING:
CUSTOMER SERVICE 30%:
  • Provide a welcoming atmosphere and greet all guests to the Welcome Center, Admissions, Dual Enrollment, and Secondary Articulation Offices.
  • Assist guests either in person, by phone, mail, or e-mail with outstanding professionalism and customer service.
  • Lead Support for dual Enrollment and Early Middle College by coordinating the office functions between Delta College its secondary partners and incoming DE/MC students.
  • Assist as needed by providing support to the Admissions and Secondary Articulation offices by processing enrollment documentation and communicating with our secondary partner schools and counselors on enrollment status.
  • Must possess a broad knowledge of the College to provide accurate information regarding the Enrollment and registration processes, college policies and procedures, and supports and services that may lead a student to enroll.
  • Collaborate with internal departments to ensure accuracy and provide customer service to students and secondary partner schools such as Student Billing, Registrar, Counseling/Advising, Admissions, etc. for enrollment, cohort registration, retention, and transfer purposes.
  • Assist students with application account issues, password resets, and multi-factor creation.
  • Monitors the main telephone line for the Dual Enrollment team. Ensures that staff are logged into the telephone queue. Records out of office greetings.
  • Handles difficult customer calls and functions as the main support when an upset customer wants to express concerns prior to handing off to Director. Determines when to escalate a situation to the manager.
  • Creates and implements telephone greetings and training for new and current staff and ensures updates are implemented.


PROCESS MANAGEMENT 30%:
  • Daily use of both CRM Recruit and CRM Advise systems and Colleague Student Information System to accomplish daily tasks.
  • Initiate tasks within CRM for recruiters to follow up with students as appropriate.
  • Assist all students through the admissions process in a prompt manner leading to enrollment.
  • Process all incoming correspondences to the Dual Enrollment office including Dual Enrollment Authorization Forms, articulation student applications, high school transcripts, SAT score reports, AP Score Reports, special enrollment applications. Route other inquiries and communications as necessary to appropriate offices.
  • Electronic retrieval, review, and process of high school transcripts including articulation applications required for admission and placement and prerequisite data.
  • Scan and electronically file data associated with student articulation, admission, and Dual Enrollment applications.
  • Work collaboratively with the enrollment management team to identify barriers students may be facing in the enrollment process allowing us to discuss and review our processes.
  • Work collaboratively with Admissions Technology Specialist to troubleshoot and fix issues for students.

RECORDS and REPORTING 20%:
  • Maintain organization of supporting materials for Dual Enrollment to create and track up-to-date accurate records.
  • Understand the process at which the Records & Registration Office processes registration, drop, and withdraws through Colleague and Soft Docs.
  • Utilize data by running reports and manipulate data as necessary to accomplish departmental tasks, including grades, drop lists, enrollment, and retention data, etc.
  • Manage materials for Enrollment and registration to ensure students can dually enroll in a timely manner, including data entry.
  • Verify each student’s application is properly submitted and tracked for year-end reporting.
  • Document all interactions (incoming/outgoing) communications with prospects within CRM providing details to recruiters about their enrollment status.
  • Routinely audit student transcripts to verify that they have received the correct AP or articulated credit as required and that pre-requisite waivers are processed correctly to mitigate registration issues.
  • Provide clarity to prospects on where they are at in the enrollment process by reviewing electronic resources.

OFFICE OPERATIONAL DUTIES 20%:
  • Assists with College-wide initiatives and projects which support the College’s strategic enrollment goals.
  • Act as part of the Welcome Center team by providing daily oversight of student workers.
  • Coordinate and schedule special enrollment events such as school visits, Early Middle College student engagement and advising, counselor and school administrator events as needed and make all other arrangements which may include reserving rooms, preparing agendas, facilitating technology needs, food services, tracking rsvp’s, and preparation of agendas.
  • Provide feedback to Director and Admissions Technologist on issues that arise in the enrollment process system that may be a barrier for students and work collaboratively with the staff to identify barriers in the system.
  • Work as part of a team of Office Professionals to update the Welcome Center (Admissions, Dual Enrollment, and Articulation) Office Professional handbook related to role as necessary.
  • Duties performed as needed include document preparation using Word, Excel, Microsoft Outlook, and PowerPoint, answering the phone, scheduling meetings, and calendars, copying, faxing, filing, scanning, opening/distributing mail, emailing communication, research, and other assistance as needed for the effective and efficient functioning of the Welcome Center and related departments of Admissions, Dual Enrollment, and Secondary Articulation.
  • Coordinate with the facilities department to maintain a high level of cleanliness and appropriate appearance of the Welcome Center on the main campus. Ensure conference rooms are stocked with updated materials and promotional items, the ID badge machine is in working order daily and reach out to the IT department for assistance with technical troubleshooting.
  • This position will work with other offices as necessary to support student retention, equity, and completion. This position will experience high volumes of work during busy enrollment periods, preplanned situations, or events.

Required Qualifications
  • Associate degree
  • Minimum of 1-3 years related work experience.

Additional Experiences Considered
  • Knowledge of college enrollment processes and procedures, technology, and overall general college knowledge is preferred.
  • Prior experience with enrollment/admissions software; Colleague, CRM Recruit, Etrieve, Adobe pdf generation and Adobe Sign software, OneNote, R25 Room Scheduling Software, Microsoft Teams, Bookings, Texting platform, and Zoom Video Conferencing.
