JOB SUMMARY

The Department of Public Works (DPW) Staff Payroll Coordinator will track departmental payroll data for the Black Rock City DPW seasonal event crews. This role will serve as DPW Administration and will provide high-level office performance and support, as it relates to data tracking and payroll, throughout the Burning Man production cycle in Nevada. This position will work both remotely and on-site.

This temporary ineligible for benefits role is:

  • From July - October: Full-Time, Non-Exempt, based on-site out of Gerlach, NV .

DUTIES & ESSENTIAL JOB FUNCTIONS

Operations (30%)

  • Hold assigned office hours; be available to provide appropriate payroll information and to answer any questions, including but not limited to creating a FAQ for recurring questions.
  • Maintain employee confidence and protect confidential information.
  • Help resolve payroll discrepancies by analyzing information, contacting employees or accounting as needed.
  • Produce and provide hour-tracking materials weekly.
  • Provide a written, year-end summary of processes including any recommendations for improvements.

Payroll Data (25%)

  • Maintain and update weekly payroll information with attention to possible discrepancies and mistakes.
  • Work with DPW Crew Managers to collect, review, and correct weekly data sheets for completeness and accuracy.
  • Liaise with the Burning Man Payroll and HR departments to help resolve any Staff Payroll challenges.
  • Create reports by compiling summaries of earnings and hours for both teams and individuals.
  • Maintain a protected, neat, and organized archive of weekly data sheets, reports and miscellaneous payroll information as directed.

Personnel Support (25%)

  • Maintain clear, consistent lines of communication with DPW Managers and the DPW Administrative Coordinator.
  • Tactfully inform and provide guidance to DPW Management on standardized data-tracking methods for payroll.
  • Maintain an amicable, empowering demeanor while helping Managers to understand the process and correct mistakes; Understand and employ the proper methods of creative problem-solving, de-escalation, and discreet escalation of personnel matters if necessary.
  • Produce, distribute and collect DPW Manager-signed weekly reports of hours worked by their staff.

Advance Planning (15%)

  • Learn and become an expert user of time-keeping systems; make adjustments as directed.
  • Review and update any process documentation, training materials, timeline expectations, accounts setup.
  • Create and maintain a Standard Operating Procedure (SOP) in detail for all Payroll duties, documenting any new developments in process as the season progresses.
  • Work with Google products (Gmail, Docs, Sheets, Drive), Microsoft Word and Excel, and any additional online tools, technology or applications specific to this role as required.

Other Functions and Responsibilities (5%)

  • Attend daily DPW Morning Meetings
  • Be familiar with, understand and act in accordance with Burning Man’s staff policies, protocols and behavioral standards.
  • Serve as a positive and trusted source of information, instructing and sharing skills as necessary
  • Perform various other duties as assigned


LEARNING AND TEACHING

  • Documentation - Drives the creation, publishing, and maintenance of process documentation related to assigned duties.
  • Teaching – Takes a leadership role in the acculturation and training of staff. Teaches live or e-learning classes, as requested. Promotes a culture of teaching and learning throughout the community.
  • Learning – Pursues ongoing learning in their area of expertise, working to stay current on emergent knowledge, skills, and processes. Participates in conferences, forums, and networking events, where appropriate.


QUALIFICATIONS

Required

  • Clear, service-oriented and professional communication, verbally and written; Able to evaluate, tailor style and patiently respond to needs for support.
  • Experience with two-way radio communication with the ability to maintain professionalism on air.
  • Operates with a high level of behavioral integrity, confidentiality and discretion of sensitive information; maintains tidiness in work ethics and the work environment, and remains calm and focused under pressure.
  • Strong proficiency at navigating digital and online technology, including Google products with emphasis on Google Sheets; working knowledge of Microsoft Word and Excel.
  • Able to proactively engage in clarifying conversations, advanced learning and effectively update existing online applications, tools, systems, spreadsheets, and documents.
  • Expert in handling data entry with an attention for accuracy; highly organized, able to initiate and prioritize tasks, and motivated with the ability to adhere to a strict schedule.
  • Capable of working in an extreme environment including drastic temperature changes, high winds, poor air quality and low to no visibility at times.
  • Ability to temporarily relocate for work at the Burning Man event held in Gerlach, Nevada

Preferred

  • Experienced with Google Sheets Query Functions and App Scripts/Macros
  • Experienced with Google Data Studio and/or other data visualization softwares
  • It is helpful if the candidate has previously been to Burning Man and/or is familiar with its culture

REQUIRED LICENSES/CERTIFICATIONS

  • Valid driver’s license and a good driving record


COMPENSATION

Individual compensation decisions are dependent on a variety of factors, including prior experience and geographical location. The anticipated rate for this position:

  • From July - October is $16.00 to $18.00 per hour.


PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

  • Off-playa: Work is primarily sedentary in nature, no special demands are required.
  • On-playa: Work is primarily sedentary but will also include the need to find and meet with department representatives who may not be in the vicinity therefore this could include walking or using some form of transportation. Some of the work will be in outside weather conditions and will be exposed to fumes or airborne particles as well as possible extremes in temperature.
