Donor Services Associate

Compensation

  • We’ll pay you an hourly salary of $19.00 to $21.00.

About the Job

We need you to fill the role of Donor Services Associate. This is a full-time, non-exempt position. You’ll wow us by masterfully performing the following key duties and responsibilities:   

The Donor Services Associate serves in a support role to ensure the fundraising success of the organization and appropriate stewardship of philanthropic contributions. This position must be able to accurately complete assignments within a given timeline, problem solve, and work well under pressure. This hybrid position is expected to be in the office at least 3 days a week.

The highly motivated, organized, and passionate individual who holds this position will assist with the implementation of all fundraising, stewardship, and donor database activities to support Shalom Austin’s work and mission. This position requires meticulous attention to detail, excellent time management skills, strong written and verbal communication, and the ability to manage multiple projects at once in a fast-paced environment. The ideal candidate should enjoy working as part of a team but also be able to take initiative on all job duties.

Essential Functions and Responsibilities

Gift entry and Database management:

  • Accurately and efficiently process online and offline pledges, payments, recurring gifts, payroll deductions, and gifts of stock for Shalom Austin.
  • Provide reports on gifts to date, outstanding gifts, and pledge remainder balances and create schedule to communicate payment reminders to donors of all levels.
  • Participate in monthly reconciliation of all contributed revenue to ensure accuracy of data.
  • Provide weekly analytical reports on appeal tracking and campaign status.
  • Support monthly giving program execution, including monthly payment processing, updated payment records, and specialized donor recognition.
  • Generate annual tax letters and provide receipts and tax documents as requested.
  • Maintain accurate constituent records including updating donor information, identifying duplicate constituent records, and taking initiative when additional cleanup is needed.
  • Manage event registration including but not limited to triaging event questions, creating nametags, and pledge card creation.

Donor Relations:

  • Ensure donors are properly acknowledged in a timely and genuine manner, creating custom acknowledgments as needed, and updating communications on a regular basis to ensure relevance.
  • Create thoughtful tribute letters and cards for weekly distribution.
  • Communicate with donors of all levels and their assistants, accountants, and stockbrokers to manage all payment information updates, phone donations, and donation questions.

General Development Support:

  • Coordinate direct mailings with the mail house including managing postage, and general project logistics.
  • Maintain stationary supply for the Development team including placing orders as needed with the printer.
  • Assist in the management of interns, collecting intern work requests from various departments and supervising them during scheduled hours.
  • Consistently update the Shalom Austin calendar and support the Development team with individual calendaring as requested.
  • Support the Development team on all other fundraising initiatives, email management projects, and events, as needed.

Job Requirements

  • Possess a High School diploma or equivalent
  • One - two years of experience working in nonprofit development and/or donor database management.
  • Strong ability to multi-task
  • Excellent interpersonal skills
  • Strong written and verbal communication skills
  • Strong critical thinking abilities
  • Ability to work under pressure with deadlines and competing priorities in a fast-paced environment
  • Professional demeanor and ability to handle all situations in a calm manner
  • High level of integrity and ability to handle confidential, sensitive issues with diplomacy and discretion
  • Experience with data entry and complex databases
  • Demonstrated ability to maintain high level of accuracy and attention to detail
  • Ability to attend evening or weekend events as requested
  • Ability to provide donors, constituents and colleagues a consistently excellent customer service experience
  • Demonstrated success using Microsoft Office suite
  • Pass all required criminal history background checks (which may, depending on the position you are hired for, include an FBI fingerprint check).

Preferred Education and Experience

  • Associate or bachelor’s degree preferred
  • Working knowledge of nonprofit fundraising practices. Experience working on special events and fundraising campaigns a plus.
  • Raiser’s Edge, RENXT, Financial Edge, FENXT, and Luminate Online experience preferred
  • Cultural competency with Judaism or Jewish culture
