Departmental Overview
The Access Services Division has leadership for planning and coordinating access and circulation policies and procedures across the UC Berkeley Library. Additionally, the Access Services Division consists of the following units - Library Privileges, Doe/Moffitt Information and Welcome Desks Services, Media Resources Center (MRC), Newspapers/Microforms Library and Current Periodicals, and Doe/Moffitt Circulation Services, and Stacks Maintenance.
The Doe/Moffitt Circulation and Gardner Stacks unit is the largest Circulation Services unit in the Library System, handling more than one million circulation transactions annually, loan of electronic devices, and the largest undergraduate course reserve operation. The Gardner (MAIN) Stacks collection management includes daily oversight and strategic planning for a 2.7 million volume collection housed on campus and retrieval for the 3 million volumes of the collection shelved at the Northern Regional Library Facility. This unit controls access to the Gardner (MAIN) Stacks, group study rooms, and 65 Doe (Medium Rare collection). The unit follows the overall guidelines, policies, and priorities of the Library, under the direction of the Head of the Access Services Division.

Responsibilities

  • Supervises students and Library Assistant staff who perform routine duties and responsibilities according to established guidelines, procedures and policies. Supervises 40-60 student library employees who perform routine duties and responsibilities according to established guidelines, procedures and policies. Student staff responsibilities include:
    • Checking out, in and renewing library materials;
    • Sorting and routing returned materials;
    • Providing information regarding location and status of materials;
    • Processing requests for holds, searches, and paging;
    • Assisting library users in acquiring material stored at the Northern Regional Library Facility (NRLF);
    • Reserving study rooms and monitoring use;
    • Checking identification of users entering the stacks;
    • Checking bags of users exiting the stacks when security gate alarm;
    • Inserting security strips in materials;
    • Adding barcodes to existing item records;
    • Creating on-the-fly records for material not in the library's catalog at time of check out;
    • Processing paging requests sent via the library's catalog.
  • Serves as administrative and timecard supervisor for student employees reporting to Doe/Moffitt Circulation Services unit of Access Services Division.
  • Manages schedules of staff to ensure adequate coverage for library users, and processing in areas such as circulation, preservation, cataloging, and serials processing.
  • Manages schedules of student employees to ensure adequate coverage for assisting library users at the circulation desks in Doe and Moffitt libraries.
  • Serves as work-leader to the Circulation Services library assistants.
  • Assigns circulation related tasks and projects as necessary.
  • Assists the Chief Operations Manager with day-to-day circulation related duties, including handling snags, maintaining statistics, editing and updating item records, and other record
  • cleanup projects as assigned.
  • Assists library users at the Main/Moffitt Circulation Desks, including checking out/in, renewing and placing holds on library materials, and requesting material from NRLF.
  • Schedules duties for student library employees. Answers user inquiries (in person and via telephone).
  • Explains and interpret library policies and procedures, enforces policies when necessary.
  • Assists the Chief Operations Manager in managing the maincirc@library.berkeley.edu email account.
  • Recognizes when to forward problems to manager for resolution.
  • Other duties as assigned by Division Head and Chief Operations Manager.

  • Evaluates job performance of student staff assigned to evening/weekend Circulation Services duties at Main and Moffitt circulation desks.
  • Prepares training plans for student staff.
  • Interviews, hires, sets performance expectations, monitors performance, and applies corrective action as necessary, including recommending dismissals.
  • Records absences and approves scheduling changes.
  • Provides direction and assistance to subordinates on difficult and complex operational library services matters.
  • Interprets and applies department circulation rules and handles problems and questions from library users regarding billing and circulation transactions in accordance with Library policies and practices.
  • Serves as the primary liaison to Library IT for computer network problems during evening/weekend hours.
  • Serves as the primary resource for problems and questions from library student staff regarding circulation policies and practices during the evening/weekend hours.
  • Implements department emergency procedures as necessary:
    • Secures the department during building evacuations;
    • Handles situations with users exhibiting disruptive behavior or creating threatening situations by notifying Library Security or Campus Police and taking other security measures as necessary.
  • Maintains a regular Privileges Desk assignment assisting library users in-person or online via LibAnswers:
    • Issues library cards and borrowing privileges;
    • Interprets library policies and procedures as related to library access and borrowing, and resolves problems;
    • Answers questions regarding billing or borrowing issues.
    • Replies to users regarding circulation policies or billing questions, and refers privileges/borrowing inquiries to the Privileges Desk.
  • Serves as a member of the e-reserves operations team processing course reserves request lists in a timely manner.
    • Performs bibliographic checking of citations provided by faculty members to determine whether the Library owns an item requested for course reserves.
    • Works with e-reserves coordinator to find alternatives, if the Library does not own the requested material.
    • Follows process for purchasing requests as outlined by e-reserves coordinator.
Required Qualifications
  • General knowledge of library practices and procedures, which may be acquired through library experience, specialized training, or relevant academic preparation.
  • Effective supervisory skills, including hiring, training, scheduling, evaluating and motivating employees.
  • Significant experience with Circulation Services and/or technical processing in a library.
  • Recent experience with an integrated library system (ILS) and understanding of ILS bibliographic, item and holdings records.
  • Demonstrated ability to balance competing priorities and improve workflows.
  • Demonstrated strong commitment to public services and improving the user experience.
  • Excellent analytical, organizational, problem solving, interpersonal, and communication skills.
  • Bachelor's degree in related area and / or equivalent experience / training.
Preferred Qualifications
  • Academic library experience.
  • Alma ILS experience.
  • Experience managing physical operations and staff in multiple locations.

This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted salary or hourly range that the University reasonably expects to pay for this position is $57,000.00 - $60,000.00.
  • This is a 100%, full-time (40 hours per week), career position that is eligible for full UC benefits.
  • This position is exempt and paid monthly.
