Job Description
Position Purpose
The Document Specialist will maintain the organization, revision control, update/review scheduling, and archiving of all controlled documents for consistency and ease of access for the various departments and teams within Vireo Resources and Vireo Systems to support compliance to all applicable regulatory and quality requirements. This position will report through the Quality organization.
Education/Experience
- Bachelor’s degree in Business Management or related field.
- Previous work experience as a Document Specialist or similar role for an FDA-regulated company.
- Outstanding organizational skills, with high attention to detail.
- Excellent written and verbal communication

- Computer proficiency in Word, Excel, PowerPoint, SharePoint.
Essential Functions
- Outline a long-term document and record management strategy.
- Adherence to regulatory requirements for document/record control for dietary supplement and cosmetic manufacturing and SQF, NSF certifications.
- Work with colleagues to ensure consistency of documentation practice across the company.
- Train employees in proper and efficient document usage.
- Assist with both internal and external audits/inspections.
- Ensure document and record integrity and security.
- Schedule annual SOP reviews and maintain document archives.
- Maintain employee training records.
- Standardize and maintain document, form, and logo templates to ensure consistency across the company.
- Collaborate cross-departmentally as needed on special projects.
Physical Requirements
- Sit 90% of workday.
- Stand 10% of workday.
- Occasionally lift 25 lbs.
- Occasionally be available to work non-standard hours.
