Responsibilities

As a Document Manager, you’ll be the gatekeeper of our project/program critical documents. This role involves strategic planning, collaboration, and ensuring seamless document workflows.

Priorities can often change in a fast-paced environment like ours, so this role includes, but is not limited to, the following responsibilities:

· Document Organization and Taxonomy: Develop and implement a robust system for organizing documents, considering not only their current state but also their lifecycle.

· Version Control and Change Management: Oversee document versions, track changes, and maintain a clear audit trail.

· Project/Program Integration: Work closely with project/program managers to integrate document management into project lifecycles.

· Collaboration and Workflow Optimization: Facilitate collaboration by streamlining document sharing, approvals, and feedback loops.

· Risk Mitigation and Contingency Planning: Assess risks related to document management (e.g., loss of critical documents, unauthorized access).

· Training and Change Adoption: Train employees on document management best practices, emphasizing the importance of adherence.

· Metrics and Performance Tracking: Define key performance indicators (KPIs) for document management effectiveness.

Requirements

Qualifications

· Education: Bachelor’s degree in Business Administration, Computer and Information Science or a related field.

· Experience: Preferable 2 years in document management.

Project Management Skills:

· Familiarity with project lifecycle phases (initiation, planning, execution, monitoring, and closure).

· Ability to create project schedules, allocate resources, and manage risks.

Technical Skills:

· Proficiency in document management software (e.g., SharePoint or similar).

· Familiarity with metadata standards and indexing.

· Knowledge of electronic document storage and retrieval.

· Understanding of data privacy and security.

Language Requirements

· Required fluency in English and optional Spanish, is essential for effective communication within our diverse team and with external stakeholders.
