Document Control Coordinator(Engineering)

We are looking for a detail-oriented Engineering Document Control Coordinator who will be responsible for managing, organizing, and maintaining all engineering documents related to multiple projects. The ideal candidate will have experience working with Arena PLM and Solidworks, ensuring that all documentation is accurate, up-to-date, and easily accessible to team members.

Success in the Role: What are performance outcomes over the first 6-12 months you will work toward completing?

  • In the first 30 days, you will:
  • Participate in our new hire orientation.
  • Begin to grasp the existing Document Control system and its significance in supporting the contract manufacturer, aiming to understand the system's functionalities and its role in the operational workflow.
  • Engage in early interactions with the company's products to connect their physical aspects with the controlling documents, enhancing understanding of product specifications and requirements.
  • Actively participate in weekly change control board meetings, collaborating with team members to complete Engineering Change Requests (ECRs) and determine appropriate dispositions, showcasing early teamwork and process understanding.
  • Within 3 months, you will:
  • Transition to chairing the weekly change control board meetings, demonstrating leadership skills and a deeper understanding of the change control process.
  • Achieve familiarity with the change control process, including how documents flow within the company, showing an ability to navigate and manage documentation effectively.
  • Establish a close working relationship with the contract manufacturer to ensure that production documentation is consistently updated and accurate, reflecting an understanding of the production cycle and documentation requirements.
  • By the end of the first year, you will:
  • Utilize prior experience to enhance the documentation control process, focusing on increasing documentation quality and accessibility across the company.
  • Implement best practices, leveraging technology, and streamlining processes for better efficiency and ease of access.
  • Work effectively with cross-functional teams, including engineering, manufacturing, quality assurance, and procurement, to ensure that documentation aligns with project requirements and deadlines.
  • Demonstrate high level of collaboration and communication skills, ensuring documentation supports operational and project goals company-wide.

The Work: What type of work will you be doing? What assignments, requirements, or skills will you be performing on a regular basis?

  • Document Management:
  • Utilize Arena PLM and Solidworks to manage and control all engineering documents including drawings, specifications, bills of materials (BOMs), and related documentation.
  • Ensure that all documents are accurately labeled, version-controlled, and stored in accordance with company standards and regulatory requirements.
  • Coordinate the review, approval, and release of engineering documents, ensuring that stakeholders are informed of any changes or updates.
  • Change Control:
  • Facilitate the change control process for engineering documents, including reviewing change requests, working with the team to assess impact, and obtaining necessary approvals.
  • Utilize Arena PLM to document changes, including the rationale for the change, approvals, and implementation status.
  • Chair the weekly Change Control Board meeting to review ECR / ECO’s and drive to completion.
  • Project Management & Organizational Skills:
  • Proven ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
  • Excellent organizational skills with meticulous attention to detail.
  • Collaboration and Communication:
  • Collaborate with cross-functional teams including engineering, manufacturing, quality assurance, and procurement to ensure that documentation meets project requirements and deadlines.
  • Communicate effectively with team members regarding document status, changes, and updates, providing support and guidance as needed.
  • Continuous Improvement:
  • Identify opportunities for process improvement within the Document Control system, recommending and implementing best practices to enhance efficiency and accuracy.
  • Stay informed about industry trends, software updates, and regulatory changes related to Document Control and PLM systems.

  • CAD System Administration:

  • Installing, configuring, and maintaining the SolidWorks PDM software.
  • Managing user accounts, groups, permissions, and security settings within the PDM system.
  • Performing software updates, patches, and upgrades as necessary to ensure system stability and security.
  • CAD Workflow Design and Management:

  • Designing, implementing, and optimizing workflows within the SolidWorks PDM system to facilitate efficient collaboration and document management processes.
  • Configuring states, transitions, and notifications to automate document routing and approval processes.
  • CAD Data Management:
  • Managing the storage and organization of CAD files, drawings, documents, and other design data within the SolidWorks PDM vault.
  • Ensuring data integrity, version control, and revision management.
  • Monitoring data usage and implementing strategies to optimize storage and performance.

You will be joining the Mechanical team, reporting to the VP of Mechanical Engineering.

This role is based out of the HQ in Waltham, Massachusetts with some flexibility in being remote some days.

Pay: $85,000.00 - $120,000.00 per year
