Job Description
Summary
The IP Docketing Specialist will be responsible for daily docketing of US and foreign deadlines, conflicts checking, intake of new matters, transfers of matters and special projects.
Essential Functions
Docketing
- · Participate in the daily docketing of data, including the handling of emails, postal mail, US Patent and Trademark Office electronic data, and verification of deadlines
- · Maintain docketing inbox and file card system
Conflict Checks
- · Perform conflict checks and communicate results to attorney(s)
IP Knowledge
- · Keep informed and up to date on IP practices and procedures, including new rules and laws
Transfers In/Out
- · Ensure that the cases being transferred out of the firm reflect a “transferred” status in the database
- · Handle incoming communications for “transferred out” cases as appropriate
- · Oversee and coordinate the intake of any new matters into the docketing system for cases coming into the firm
Special Projects
- · Will work in conjunction with the IP Docketing Administrator on special projects which could be identified internally in Docketing or assigned by the Executive Director or Supervising Shareholder
Miscellaneous
- · Maintain CPI client, contact, and agent records
- · Run patent and trademark reports as requested by attorneys and staff
- · Run reports as requested for marketing purposes
- · Send a holiday closure notice to all foreign associates in December
Knowledge, Skills & Abilities Required
- · Ability to thrive in an environment with highly structured work processes
- · Knowledge of intellectual property law and practice
- · Intermediate computer knowledge & skills to learn new software
- · Working knowledge of Microsoft Excel
- · Ability to professionally and effectively communicate both orally and in writing

Working Conditions
The employee is expected to work a typical 40-hour work week with occasional overtime.
Education and Experience Requirements
High school diploma or equivalent required, bachelor’s degree preferred.
