Overview:
Headquarters, Air Combat Command (ACC), Directorate of Operations (A3), Flight Operations Division (A3T) at Langley Air Force Base, VA is responsible for the combat readiness and training of the Combat Air Forces (CAF). ACC/A3T provides the operational expertise required to meet current and future needs of the CAF by developing, coordinating, and publishing command guidance for all aspects of CAF fighter aircrew training.
Job Summary:
Support military, Government civilians and Contractors for daily administrative and personnel functions for the Director of A3T and 100+ personnel.
Requirement: Active SECRET Clearance is required
Education and Experience:
• Bachelor's degree or Five (5) years of operations staffing, unit administrative, or orderly room experience.
• Recent personnel/administrative experience
Essential Duties:
• Provide Division level executive support and daily continuity for the O-6 Division Chief and deputies.
• Monitor military personnel action requests, track personnel, manpower and training transactions as documentation flows through the office, and provide status reports to management. Review and correct personnel records to include duty status, duty title changes, change of raters, and position number changes for A3T military, civilian and contractor personnel.
• Coordinate, review and guide all staff actions for the A3T Division. Track, review, and process administrative and personnel management actions for personnel in multiple A3T branches. Track, review, process and submit weekly slides to directorate leadership with current status of the division's performance reports, decorations, promotions, recognition and awards programs and serve as the resident subject matter expert for all mandated administrative support programs.
• Provide advice to help ensure unit program compliance with regulations, laws, policies, and squadron commander directives.
• Provide support for programs such as Task Management tool, drug demand reduction program, health care program, fitness program, safety program, ADPE accounts, security program and supply program. Develop and recommend procedures to track programs status and maintain program health, and implement them if approved. Identify and respond to trends of programs and help keep them operating at or above satisfactory levels. Communicate guidance to division members.
• Advise the Division Chief on policy and help establish procedures for associated programs. Assist Government in ensuring assigned members are aware of individual requirements established by law and/or policy.
• Serve as the point of contact (PoC) for both civilian and military position utilization. Maintain manpower manning documents. Review requests for revised manpower authorizations and make recommendations for approval or disapproval. Receive changes to UMD and notify appropriate officials and flows up with appropriate actions. Review UMD monthly and analyze manpower documents for accuracy and ensure that products are distributed to customers.
• Develop and recommend effective procedures to ensure effective and efficient operations of the office. Provide advice to staff in the organization on administrative, clerical, and procedural requirements. Assist other clerical staff in locating and selecting the appropriate guidelines, references, and procedures for application to specific cases.
• Assist the A3T division Security Managers. Accomplish all required security training, input visit requests into Defense Information System for Security (DISS) or through A2/SSO, coordinate re-investigations and read-in access, and conduct quarterly inspections with members of A3T or the 633 ABW Security Office. Responsible for necessary entry access letters and alarm access letters.
Knowledge, Skill and Abilities:
• 3 years of experience supporting office operations and producing letters, reports, spreadsheets, graphs, etc.
• 2 years of experience and high proficiency with Task Management Tool (TMT)
