The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The incumbent will report to the Division Chief of Women’s Genetics and the Department Administrator. This position will be responsible for overseeing the financial, administrative and clinical operations activities within the Divisions of Women’s Genetics, a national leader in clinical reproductive genetics and genomics. In addition, the position will have oversite of the administrative and operational functions of the Women’s Genetic Center, a collaboration between the Department of OB/GYN and the New York Genome Center that provides cutting edge clinical healthcare for women driven by novel genomic testing modalities.

Responsibilities

Operational responsibilities will include:

Division responsibilities:

  • Daily supervision of operations of clinical and administrative support staff and managers within the Division.
  • Oversee all human resources functions such as hiring, training, supervising, performance appraisals and disciplinary actions, and to work closely with all existing HR entities (CU, NYP, Service Corp, 1199, NYGC) to appropriately do so. Ensure that all divisional staff and faculty are compliant with Hospital/Departmental/Division policies and procedures by working with relevant colleagues at CUIMC OB/GYN. Assist with all human resource processes for faculty, such as hiring, appointments and promotions, salary allocations, credentialing and compensation management for incoming faculty as well as existing faculty. Ensure the hiring and training of faculty and staff supporting the WGC is done in a timely fashion by working with the appropriate HR partner at CUIMC OB/GYN and the NYGC.
  • Supervise and collaborate with practice managers to oversee faculty practice site operations, which including development of new practice locations, coordination and implementation of practice flow, management of administrative and clinical support staff of the practices, monitoring scheduling templates and volume, improving and maintaining patient satisfaction scores.

WGC responsibilities:

  • Ensure that all divisional and WGC staff and faculty are compliant with Hospital/Departmental/Division policies and procedures by working with relevant colleagues at CUIMC OB/GYN and NYGC.
  • Establish and implement policies that govern day-to-day operations of the WGC
  • Optimize mechanisms to ensure that effort allocation for faculty and staff who work for the WGC are being tracked in a standardized manner.
  • Collaborative with central admin staff to complete all responsibilities as an active participant in the Executive Committee (EC) of the Women’s Genetic Center (WGC). Engage in short and long-term strategic planning for the WGC with the Executive Committee.
  • Organize EC meetings (agendas, minutes, action items) – in consultation with EC members. Prepare materials for presentation to the Steering Committee and an Annual Report.
  • Represent the WGC in meetings with potential business partners and collaborators.
  • Increase public visibility of the WGC through effective communication and marketing. Develop an in depth understanding of the customer base and build relationships with key stakeholders.
  • Oversee task forces necessary to drive the mission of the WGC as determined by the Executive Committee, ensuring they are necessary and productive.

Financial responsibilities include:

  • Develop monitor and present budgets in which funding is comprised from academic, research and clinical activity. Completing and monitoring recruitment business plans and P&Ls
  • Provide financial reports for semiannual WGC Steering Committee meet and as requested. Monitor and explain budget variances on a consistent basis to Division Chief and Department Administrator; maintaining fiscal controls; identify areas for financial improvement, business development and strategic planning; understand and ensure appropriate revenue cycle processes throughout the Division and monitor results; responsible for space management operationally and financially.
  • As a member of the WGC Executive Committee, identify areas for financial improvement, business development and strategic planning.
  • Work with the billing vendor to develop billing processes and charges, and develop plans for obtaining and expanding insurance coverage for services provided.
  • Support fundraising activities directly related to the WGC.
  • Work with research administration to identify and implement opportunities for research studies.
  • Perform other related duties and responsibilities as assigned/requested.

Minimum Qualifications

  • Bachelor’s degree or equivalent in education and experience, plus five years of related experience.

  • Faculty practice departmental/divisional management experience; experienced in the supervision of administrative and support staff personnel. Must have strong financial/budget experience; be organized and detail oriented; have communication, supervisory and computer skills. Excellent Communication, organizational, writing and presentation skills required.

  • Strong initiative and problem-solving skills necessary. Ability to identify opportunities to enhance income from development and revenue sources. Capable of working diplomatically and collaboratively with a diverse population of leadership, faculty, staff and students and developing productive professional relationships.

  • Able to take initiative and exercise sound judgment and creativity in the resolution of complex problems. Accomplished at establishing realistic and achievable priorities.

Preferred Qualifications

  • Master’s degree preferred and progressive responsibility at a managerial level, preferably faculty practice management experience at a departmental/divisional level in an academic health center.

  • Familiarity with medical genetics, genetic counseling and genetic and genomic technology preferred.
