Job description

Position Summary: The Distribution Specialist processes all incoming and outgoing package and mail shipments on a daily basis. Also responsible for shipping and receiving functions, material handling, stock distribution and fulfillment of supply requests through the use of MMIS or handheld barcode systems. Other duties will include furniture moves, record storage and distribution, and any transportation functions as required from the CMMC Distribution Center to the Medical Center and its affiliates. Additional duties include managing of supply par level locations by reviewing and fulfilling low stock needs, reordering stock as well as putting stock away upon receipt and assuring par level locations are clean and organized per hospital policy
Duties and Responsibiliities:
Demonstrates Competency in the Following Areas:
1. Responsible for all outgoing shipments determining the proper and most efficient methods.
2. Packages, weighs, and records all items deemed as outgoing shipment.
3. Ensures proper packaging to avoid damage.
4. Accurately weighs items to establish lowest price method of return.
5. Maintains proper records for tracking, billing, and compliance to any State or Federal regulations.
6. Maintains up-to-date knowledge of Shipping Regulation, Contractual Agreements with designated Carriers.
7. Logs, sorts, and posts receipts for all incoming shipments.
8. Properly documents contents of package(s).
9. Inspects for damaged goods.
10. Generates receiving documents.
11. Receives items into computer system.
12. Sorts items for distribution to proper destination.
13. Distributes paperwork as required.
14. Maintains records as required.
15. Picks and distributes stock from warehouse storage as requested on an approved requisition. Prepares, packages, and sorts items for delivery to Medical Center and its affiliates.
16. Fills requests based on need/priority.
17. Identifies and processes STAT requests.
18. Assures accuracy when picking supplies by reviewing picking document to product and or label information and verifies quantity in need.
19. Teams with Lead Distribution Coordinator to ensure proper stock levels.
20. Initiates stock out notifications as needed or directed.
21. Notifies requester if unable to fill order.
22. Processes all incoming stock within MMIS system and puts stock away in designated areas using stock rotation process.
23. Identifies and stores items in proper locations and with proper requirements as needed (ie: temperature controlled).
24. Rotates stock in proper order due to dating sensitivities as directed.
25. Maintains care in handling items identified as sterile and assures sterility of product and package as handled and stored.
26. Maintains confidentiality.
27. Transports materials as required to Medical Center and its affiliates utilizing corporation vehicles.
28. Maintains vehicles to ensure safe operation.
29. Reports all vehicle or department machinery mechanical malfunctions to Manager.
30. Ensures that all mandatory vehicle inspections and registrations are kept up to date.
31. Maintains a clean and organized area at all times including straightening supplies on stock shelves, removing excess boxes or packing material.
32. Maintains nursing par level areas with supplies based on identified par levels. Keeps par levels clean and organized, assures proper labeling and product stocked. Assures par level stocked supplies meet state and federal guidelines per hospital policy
33. Customer Service: Interacts with all individuals in a consistent manner, providing attention, support, and assistance to foster an environment of exceptional personal service.
a. Maintains a pleasant and helpful demeanor, and presents a professional appearance toward all internal and external customers at all times.
b. Consistently initiates interaction to provide assistance to individuals who may not be direct customers of the employee (i.e. asks patients who appear to be lost if they need assistance in finding their way).
c. Takes appropriate action to recover from a service difficulty, ensuring that the necessary action is taken to affect a resolution to the customer's problem.
d. Conducts all work activities with respect for coworkers, including the maintenance of a pleasant and professional environment, fostering calmness during stressful situations.
e. Interacts with supervisory personnel in a professional, supportive and courteous manner, venting emotions appropriate to time and place.
f. Demonstrates a commitment to service by consistent attendance and punctuality, scheduling absences according to departmental requirements, and incurring unplanned absences only when unavoidable circumstances exist.

37. Reports to work on time and as scheduled, completes work within designated time.
38. Wears identification while on duty, uses computerized punch time system correctly.
39. Completes inservices and returns in a timely fashion.
40. Attends annual review and department inservices, as scheduled.
41. Attends monthly staff meetings as scheduled. Reads all monthly staff meeting minutes.
42. Represents the organization in a positive and professional manner.
43. Actively participates in performance improvement and continuous quality improvement (CQI) activities.
44. Complies with all organizational policies regarding ethical business practices.
45. Communicates the mission, ethics and goals of the facility, as well as the focus statement of the department.
46. Confidentiality: Maintains confidentiality of information at all times.
a. Consistently maintains confidentiality of all information gained during the course of employment, respecting the privacy of others.
b. Understands and maintains the confidentiality of information communicated directly from the supervisor, including discussions of a counseling nature.
c. Follows policies and procedures related to medico legal matters, including confidentiality, amendments of medical records, patient rights, medical records as legal evidence and informed consent
d. Copies records according to policy, assuring the appropriateness of the individual requesting information from the record prior to copying, faxing, or phoning any portion of the record.
47. Safety: Demonstrates an understanding of fire and electrical safety, infection control, body mechanics, and related areas, as appropriate to position.
a. Attends mandatory in-services on fire safety, electrical safety, infection control, and body mechanics. Successfully completes competency-based training in each area.
b. Follows all employee health procedures, incident reporting, and infection control requirements at all times, as appropriate to the position.
c. Uses proper body mechanics at all times as required by the physical demands of the position.
d. Maintains a safe work environment and performs duties of the position in a manner consistent with ensuring the safety of self and others.
e. Identifies safety needs in areas outside own work environment, recommending corrective action as appropriate.
48. Expense Control: Performs job duties in a manner that maximizes expense control.
a. Uses supplies, equipment, and utilities in an expeditious manner
b. Consistently recommends methods to control costs while maintaining a high degree of customer service.
c. Performs job tasks efficiently and effectively resulting in no unplanned overtime.
Regulatory Requirements:
• High School diploma or equivalent.
• This CMHC position must meet the criteria for evaluating vehicle operator suitability. It has been determined that this position requires either the operation of a system or leased vehicle or the use of a personal vehicle for business purposes on a regular basis as an integral part of the job.
Language Skills:
• Able to effectively communicate in English, both verbally and in writing.
• Strong written and verbal skills.
• Additional languages preferred.
Skills:
• Basic computer knowledge.
• Valid Maine Drivers License - Able to drive 24' box truck effectively & safely.
