Job Description:
The Distribution Services Representative III is responsible for the receiving of, sorting of, and delivery of the mail (inter-office and US Postal), express packages (UPS, FedEx, DHL, etc.), and other back-office and branch supplies for back-office, headquarters and other bank facilities.
Depth & Scope:
  • Performs routine to complex administrative or machine-based tasks in a Distribution Services environment under supervision
  • May assist in training team members and/or special projects
  • Serves as the contact person for a satellite mailroom
  • Communicates process improvement changes to all distribution
  • Assists with merger and acquisition activities and year-end activities related to Distribution Services
  • Maintains and continuously updates mail stop information; Ensures information on the phone & store directory is current and that mail stop information for various departments and branch locations is up to date
  • Resolves internal mailing issues such as lost packages, bad address and misdirected mail
  • Responsible for the efficient and timely transportation of materials to, from, and between bank Operation/Processing Centers, Branch/Stores, other bank offices and bank Customer and business partners
  • Must have acceptable driving record
  • Learn and use current software applications related to the position
  • May perform letter or parcel tracking and perform account maintenance and reporting
  • Coordinates receipt of and pick-up of mail at assigned Post Offices or from mail or package deliveries
  • May coordinate daily outbound delivery function including tracking down lost or misplaced packages
  • Handles mail sorting activities with mailroom associates to correspond with the mail delivery volume and schedule
  • Ensures that effective and proper processes are in place and followed, assures accuracy of sorts, and timeliness of sorts correspond with deliveries, cut-offs, and pick-ups schedules
  • Coordinates mass mailings and all that is entailed therein
  • Implements action to ensure service deliverables are archived consistently

Education & Experience:
  • High school diploma or GED required
  • 2+ years related experience required
  • Organizational and communication skills
  • PC skills and solid knowledge of postal regulations and procedures for preparing presort, certified, registered and overnight mail required
  • Strong Customer service skills
  • Attention to detail and organizational skills
  • Ability to perform minor maintenance
  • Ability to work independently and as part of a team
  • Team player with good interpersonal, organizational and analytical skills to coordinate department activities and work assignments
  • Ability to provide training and clear communications
