You, as an administrative & dispatch specialist, will be greeting customers daily and are expected to represent Lott Oil Co. in a positive manner.

Primary Responsibilities and Duties
- Receive and dispatch orders for products or deliveries
- Greet customers in a courteous, professional manner
- Communicate any customer needs to appropriate personnel
- Answer/route phone calls and take messages
- Maintain database by entering new and updated customer and account information
- Process customer and account source documents by reviewing data for deficiencies
- Maintain data entry requirements by following data program techniques and procedures
- Maintain customer confidence and protect operations by keeping information confidential
- Serve customers in person and over the phone by providing product and service information and resolving product and service issues
- Provide operations support and documentation support for Managers
- Handle incoming and outgoing mail
- Prepare and maintain company documents and reports
- Maintain adequate inventory levels to meet customer demand
- Perform counts and ensure all inventory is accounted for and reported according to company policy
- Generate bills and invoices specific to customer accounts
- Process all payment using various pay services
- Utilize accounting software to identify outstanding accounts
Knowledge, Skills, and Abilities
- High school diploma required
- Collage degree or related work experience recommended
- Expert customer service skills
- Problem solving, computer savvy
- Organizational skills, thoroughness
- Phone and documentation skills
- Ability to handle multiple tasks
- Good communication skills and detail oriented
