The Director, Medical Staff Services and Special Projects is responsible for managing, maintaining and reporting on the organizational status and requirements of the Executive Office, Administration, Physician Operations, Medical Staff Services including Credentialing and Privileging, Clinical Research Support Services, and Graduate Medical Education departments. The Director delivers project and program management, strategic planning and implementation support for key organization initiatives as assigned by the CEO, COO and Executive Team.

DUTIES AND RESPONSIBILITIES:

Administration:
  • Supports CEO and COO with development and maintenance of external partnerships.
  • Oversees the operation of facility business accounts, licensing and certification enrollments,renewals, reporting requirements.
  • Responsible for departmental budgets totaling $2.6 M and participates in the developmentand implementation of adjacent departmental and programming budgets.
  • Serves as the primary point of contact and liaison with other offices, individuals, andinstitutions on operational and programmatic matters concerning the organization.

Clinical Operations:
  • Oversees Physician Operations creating and managing physician contracts, recruitment andonboarding functions, professional service invoices, and support functions includingadministrative and research assistants, clinic schedules, performance metrics, and programdevelopment.
  • Maintains current knowledge of CMS, CDPH, Medi-Cal, AAAHC and state requirements,Medical Staff by-laws, and the rules and regulations for privileging, to respond to enquiriesand to ensure the medical center complies with applicable standards.


Medical Staff Services & Credentialing:

  • Provides leadership, management and operational oversight of the medical staff services and credentialing department to ensure compliance with regulatory requirements and to support quality patient care efforts.
  • Oversees Medical Staff Services for the organization’s facilities and liaises with Medical Director and CNO for peer review and quality initiatives.
  • Oversees the Medical Education department ensuring appropriate contracts are in place for rotating residents, ACGME and POSNA accreditation compliance, strategic growth, and reporting.
  • Serves as Director of executive project and program management director to the CEO, COO and Executive Team for the convening of a range of meetings on short or long-term special projects including planning and management, and development and execution of stated goals and objectives.
  • May include undertaking research, tracking trends; preparing presentations; development of meeting agendas; compiling pertinent background materials for attendees; preparing summaries of discussion; coordinating logistical arrangements; and ensuring appropriate and effective communication with participants, as needed.

PERFORMANCE STANDARDS AND SUCCESS INDICATORS:

  • Satisfaction of CEO and COO with performance and achievements based on organizational scorecard
  • Supervised staff are achieving professional goals set for the year
  • Successful implementation of new administrative directives/policies
  • Maintaining balanced budgets and generating ideas for potential new sources ofrevenue/grants
  • Licensing, Certification and Accreditation status being in good-standing with no citations
  • Increased growth and visibility in the research and medical educational programs,successful fellowship completion and filling of fellowship program continuously
  • Credentialing files up-to-date with no lapses in licenses or certifications, no citations

QUALIFICATIONS:
  • Bachelor’s degree in Business Administration, Health Sciences, Public Health required; MBA, MHA preferred
  • 7-10 years’ experience in healthcare administration or related field, non-profit preferred;
  • Minimum 2 years of supervisory experience required.
  • Minimum 5 years of credentialing and or medical staff services background; certificate in Certified Professional Medical Services Management (CPMSM) and/ or Certified Provider Credentialing Specialist (CPCS) strongly preferred.
  • Undergraduate Medical Education (UGME), Graduate Medical Education (GME) experience required, CME experience required.
  • Knowledge of California regulation and medical law required. Prior experience in licensing certification and accreditation standards for health care providers such as CMS, CDPH, Medi-Cal, AAAHC, ACGME, POSNA preferred.
  • Proficiency with Credentialing software.
  • Experience with project management and working with implementation teams.
  • Proven ability to meet deadlines and handle multiple projects simultaneously
  • Experience supporting a senior executive on strategic projects and external engagement, aswell as an ability to deal directly with senior partners.
  • Excellent organizational, communication, interpersonal, analytical, problems solving, and time management skills.
  • Strong diplomacy, writing and planning skills.
  • Advanced report generating and statistical analysis skills.


Complexity:

Effectively lead a team, assessing progress, identifying key issues or strengths and actively provide solutions or support. Be able to delegate and prioritize departmental workflow based off of volume, workforce, and deadlines. Ability to perform highly detailed work with sustained attention and ware while providing/obtaining information on numerous inquiries is paramount to success in this position. Ability to maintain confidentiality, professional discretion and ethical behavior.
