Overview
Utilizing independent judgment, the Director of Event Services directs, manages, supervises and coordinates the activities and operations of the Event Services Department including Event Management, Box Office, Parking, Exhibitor Services, Telecommunications, ensuring that a high quality of service is being provided and that the policies/procedures of the venue are being adhered to.
This role will pay a salary of $80,000 to $95,000.

About the Venue
The Greater Richmond Convention Center is the largest meeting and exhibition venue in the Commonwealth of Virginia. With 178,158 square feet of contiguous exhibit space, a 30,550 square-foot Grand Ballroom and 50,000 square feet of additional meeting/banquet space, the GRCC is well-positioned to host a variety Of Events from small meetings to large trade shows and conventions. Situated along the I-95 corridor, the GRCC lies within a 500 mile radius of one half of the U.S. population. The Richmond Region is an affordable market in Central Virginia with the Blue Ridge Mountains to the north, the Atlantic Ocean to the south, Washington D.C. to the east and North Carolina to the west.
Responsibilities
JOB DUTIES:
  • Oversee the planning, implementation, direction and management of all functions and resources within the Event Services department
  • Recruit, interview, select, train, motivate and evaluate Event Managers, Event Coordinators, Box Office/Parking Manager. Telecommunications Manager: work with employees to correct deficiencies; implement discipline and termination procedures
  • Develop, implement and manage training programs for department staff
  • Coordinates and assigns events to departmental staff to ensure the best approach for success
  • Review and approve event related drawings and event orders
  • Develop crowd management and event staffing plans for events
  • Conduct staff, planning and operational meetings to ensure smooth coordination of services to events
  • Inspect event space prior to events opening; coach and counsel staff in areas of deficiency to ensure a safe and successful event
  • Identify potential event challenges and provide solutions ahead of time to ensure success
  • Review and approve the computing of costs for billing of license fees, labor, services and equipment charges for all events prior to release of an event invoice
  • Prepare annual departmental budget, recommend capital improvements and equipment purchases, monitor and control departmental expenditures
  • Assist in the preparation of estimated revenues and expenses for the facility budget
  • Assist Sales Managers in preparation of cost estimates and diagrams for events
  • Update as needed and provide an annual comprehensive review to components of the Center's Annual Plan, to include, but not be limited to, the Event Handbook, Box Office Manual, Service Desk Manual and Parking Manual
  • Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service
  • Conduct a variety of industry operational studies; recommend modifications to service delivery methods and operational policies and procedures as appropriate
  • Interpret and apply all relevant federal, state and local regulations. Keep abreast of industry trends and advancements ensuring that the Center provides state of the art services and a creative environment
  • Develop and maintain communication means, coordination channels and relationships with Center clients, other Center Directors, decorating companies, third party service providers, adjacent facilities, the Richmond Police and Fire departments
  • Serve as an administrator of the Center's event management software
  • Routinely serve as Manager on Duty; Respond to inquiries from show organizers and the general public
  • Personally oversee the management of some of the Center's highest profile or complex events
  • Prepare and present regular staff reports, departmental reports and other related correspondence
  • Provides highly responsible staff assistance to the Assistant General Manager and General Manager.
  • Perform other duties as required

SPECIAL KNOWLEDGE & ABILITIES:
Knowledge Of:
  • Multipurpose public assembly facility management and operational characteristics Of Event management
  • Facility License Agreements and the needs of users of large public assembly facilities
  • Crowd management and control techniques, Customer Service practices, Principles of supervision and training
  • Fire and public safety regulations; Food service practices and regulations
  • A/V and Telecommunication equipment used by events in public assembly facilities
  • Principles of budget preparation and control
  • Terminology used in entertainment and convention settings
  • Relevant federal, state, and local regulations
  • Must have proficient computer skills in Microsoft office applications, Word, Excel, and Outlook

Ability To:
  • Plan, service, and supervise large events
  • Plan, direct, and evaluate the work of subordinates; Provide leadership for Event Services personnel
  • Analyze challenges, identify alternative solutions, project consequences of proposed actions and implement recommendations in support of organizational objectives
  • Communicate clearly and concisely in the English language, both orally and in writing
  • Establish and maintain effective working relationships with staff, contractors and facility users
  • Work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) workdays and extended numbers of days

Qualifications
PREFERRED QUALIFICATIONS
Experience:
  • Five (5) years of increasingly responsible experience in event planning and management, preferably with a Convention Center, hotel, conference center, expo center or sports facility.
  • Two (2) years of supervisory responsibility

Education / Training:
  • Bachelor's degree from an accredited college or university with major course work in facility management, hospitality management, business administration, or related field
  • Additional years of experience may be substituted for formal education

Licenses or Certificates:
  • Possession of, or ability to obtain a Cardiopulmonary Resuscitation (CPR) certificate and a Automated External Defibrillator (AED) certificate, paid for by the Employer
  • CMP, CVE, CVP or other industry recognized designations.
  • Completion of a Certified Crowd Manager Training course or the ability to complete a course paid for by the Employer within 60 days of employment
