Job Summary
The director will be a highly visible leader and an instrumental part in advancing the mission, vision, values, and priorities of the college and the Northwest Athletic Conference (NWAC). The incumbent is responsible for the leadership, support, and success of seven competitive athletic teams, supporting the faculty within the Exercise Science department, and providing opportunities for students to participate in recreational activities. The director will effectively work with others to recruit, retain, and advance intercollegiate athletics, wellness, and student engagement and success. The director will create a culture of sportsmanship, professionalism, and respect at all levels; apply sound fiscal management; and ensure compliance with institutional policies, athletic governance organization rules and regulations, and local, state, and federal laws. The incumbent will be uniquely positioned to build championship-level programs and have coaches on campus working in other jobs which is a great tool for retention, completion and overall student success. The director is business savvy, collegial, an exceptional revenue generator, and a respected member of the campus and community.
Essential Functions
Leadership
  • Manage and coordinate usage of athletic facilities for WVC team practices and events, as well as outside usage, where applicable: gymnasium, softball, baseball and soccer fields.
  • Direct, mentor, and supervise the administration of the men's and women's athletic programs and provide oversight of all administrative, compliance, operational, and business functions in accordance with the college's institutional policies and procedures, and the Northwest Athletic Conference (NWAC) requirements.
  • Will lead, support, motivate, and host regular meetings with faculty, coaches (teaching and non-teaching), staff, students, and others that are associated with our instructional and student programs, revenue generation programs including sponsorships, camps, rentals, and fundraising and community engagement initiatives.
  • Maintain active communication with the college community to promote the integration of Athletics into the broader educational mission of the college.
  • Be an active participant on the Student Affairs Leadership Team (SALT).
  • Develop and execute a fundraising plan in support of men's and women's athletics through coordination with the WVC Foundation executive team and designated foundation board members on special events and membership drives to cultivate and strategize solicitation of both annual and major gifts.
  • Recruit, hire, train, supervise, and evaluate department and game management staff, coaches, athletic trainers, student employees, volunteers and other support staff.
  • In collaboration with faculty, staff, and administration, develop a vision and plan for instructional and athletic facilities and the improvements that are needed.
  • Ensure coaches communicate eligibility requirements including financial aid, budget, travel, and other applicable college policies and procedures to student-athletes.
  • With minimal direction, advise and assist the vice president of student affairs on matters pertaining to the athletic department, including achieving the goals, metrics and objectives of the athletic program.
  • Develop and provide all annual budget recommendations for Students and Activities (S&A) funds. Ensure strict compliance with all college and state concessions, cash handling, and related management regulations, policies and procedures.
  • Manage budgets and provide accountability by consistently reviewing financial statements and approving department expenditures.
  • Initiate and coordinate efforts to promote and market athletic programs on campus and with outside organizations and media. Work with the community relations office when appropriate.
  • Independent judgment is required to plan, prioritize, and organize a diverse and wide-ranging workload with sensitivity and confidentiality.
  • Academic excellence is one of the college's top priorities and the incumbent will work with others on campus to reach and maintain a 3.0 minimum G.P.A. per team. Provide the appropriate support for students who do not meet this standard.

  • Develop, support, and increase the student-athlete seasonal and academic award successes.
  • Success relies on an in-depth understanding of the role of Athletics in a comprehensive inclusive college, and leadership that is consistent with the mission and goals to promote positive experiences for student-athletes, students, faculty, staff and the community.
  • In coordination with coaches, develop an athletics end-of-season coaches awards appreciation banquet.
  • Revise, update, and disseminate an athletic student-athlete handbook.
  • Serve on the vice president of student affairs leadership team and the Exercise Science department.
Advancement
  • Plan and oversee all fundraising and development activities for athletics, including summer sports and activity camps, develop an athletic department booster club, sponsorships, ticket sales, etc.
  • The minimum revenue generated through fundraising and other activities and efforts will be greater than $100,000 per year and proceeds will go directly to help fund and support athletics.
  • Will actively promote diversity, belonging, and equity through critical and compassionate communication and strategic and intentional outreach and engagement efforts.
  • Oversee and coordinate student-athlete recruitment program with coaches. Coordinate scouting and outreach efforts at the local, regional, and national levels, including developing close working relationships with K-12 partners.
  • Lead, manage, and coordinate operations of fundraising activities, including developing an annual Knight's classic golf fundraising tournament and an annual fundraising auction.
  • Work closely with donors and stakeholders, the WVC Foundation, athletics teams, coaches, staff, and volunteers to ensure fundraising goals and logistic support.
  • Develop and collaborate with the WVC Foundation to identify and leverage fundraising opportunities related to the Athletics Booster Club activities that help sustain student-athlete scholarships and build athletics-related support.
  • Organize, direct, and participate in activities that will promote a positive public image for the college on campus, as well as locally, regionally and nationally.
  • Coordinate with communications and marketing staff to prepare press releases, create innovative publicity and marketing strategies, and promote intercollegiate athletics, Exercise Science, and Recreational programs for the campus and community.
  • Work with all aspects of the college to market, promote, encourage, support, and engage in intercollegiate athletics, Exercise Science, health and wellness, and Recreation programs.
Student Development
  • Direct and supervise the administration of the gymnasium, athletic facilities, and programs that provide opportunities for students to further their wellness and physical fitness.
  • Collaborate with student affairs to support the social, physical, emotional, and intellectual development of student-athletes.
  • Ensure students have the appropriate academic support to advance their educational and career goals.
  • Promote and support academic success, and well-being of students and fellow employees, and foster inclusive excellence and engagement within the campus and community.
  • Encourage and recognize student success in service, the classroom and in competition.
Sports Administration
  • Ensures compliance that all department members have full knowledge, compliance, and abide by the rules and regulations of the college, NWAC, student-athlete eligibility, tracers, rosters, statistics, Title IX, Equity in Athletics Disclosure Act (EADA), and other annual and mandated federal and state reporting requirements.
  • Develop an annual departmental budget based on student activity fees, institutional dollars, and monies raised.
  • Develop, update, and maintain mailing lists; work with community relations to produce publicity materials related to programs; oversee the process to ensure proper and timely completion of all aspects of paperwork and that revenue generated is deposited appropriately.
  • Manage athletic programs' inventories of uniforms, equipment and supplies.
  • Promote awareness of athletic programs, Exercise Science classes, camps, and Recreational activities for the campus community. Oversee marketing plan, departmental publications, web pages and social media presence.
  • Coordinate athletic games and practice schedules and secure officials for intercollegiate athletic contests. Ensure timely and accurate reporting of contest results, video uploads, team rosters, pictures, and schedules to NWAC, the college website, local newspapers and media sources.
  • Manage and coordinate usage of athletic facilities for WVC team practices and events, as well as outside usage, where applicable: gym, softball, baseball and soccer fields.
  • Coordinate student-athlete post-season awards and recognition programs with campus and community stakeholders.
  • Oversee team travel arrangements including scheduling van/bus transportation, hotel arrangements, meal money, insurance claims processing, and special arrangements for pre-, regular, and post-season travel.
  • Support representatives of the men's and women's NWAC commissioners to participate in all required NWAC meetings and events.
  • Collect and analyze departmental statistics and data; develop, interpret, and implement intercollegiate athletics policies and procedures.
  • Establish and revise short- and long-range organizational goals, objectives, policies and operating procedures. Monitor and evaluate operational effectiveness and implement continuous improvement changes as needed.
  • Ensure safe and secure operations of the SRC/PAV and all related athletic, recreational, and special events and activities.
  • Exemplify the highest standards and foster inclusive excellence among students, faculty, coaches, staff and community stakeholders.
  • Develop and maintain departmental policies and procedures including the preparation of department manual, necessary to effectively manage and demonstrate a transparent and inclusive athletic program.
  • Review, approve, and sign all letters of intent within the parameters of revenue secured, budgeted, and approval of the college.
  • Approve all conference and non-conference schedules within the allotted budgets.
  • Work closely with the ASWVC to develop annual budget proposals. Maintain strong collaboration relationships with ASWVC student leadership to enhance support for athletic programs.
  • Work closely with the Director of student life, leadership, and development in managing institutional and S&A funds.
  • Develop continuous improvement administrative, operational, compliance and athletic plans.
  • Serve on the college, NWAC, and the East Region committees, as appropriate.
  • Serve as liaison for NWC sports committees.
  • Remain competent and current through self-directed professional reading, develop athletic and campus recreation professional contacts with colleagues, and attend professional conferences, development courses and required training.
  • Maintain statistical and other records of the department for internal and external official use.
  • Participate in personnel decisions involving student, work-study and part-time employees.
  • Prepare and maintain administrative and business reports, forms, and records, or supervise staff, work-study students, and/or volunteers engaged in these activities.
  • Approve all departmental expenditures, monitor budget activities, and ensure responsible budget practices. Assure compliance with college rules, procedures, and deadlines.
  • Work with athletic department staff to monitor budget status in line with athletic activities, plans or priorities; receive, process and deposit funds; review athletic programs income/expense, statistical and budget status reports.
  • Secure bids for charter transportation services and advise administration as to value/issues of college owned/leased buses. Oversee travel arrangements.
  • Coordinate officiating and provide for game management staffing and supervision at all home athletic events, including assisting visiting teams and coordinating event safety.
  • Develop and submit an area plan for the office of institutional effectiveness as it relates to accreditation. Keep the plan current as changes occur within the institution or the Northwest Athletic Conference.
  • Respond promptly to all phone, email and written inquiries. Respond to campus emergencies as needed.
  • Perform other duties as assigned or delegated by the vice president for student affairs.
Facilities and Operations Management
  • Oversee the master calendar for the gymnasium and athletic facilities within the sequential order of academic programs, intercollegiate athletics, recreational activities, sports camps and fundraising events, and the rental revenue.
  • Oversee, supervise, and evaluate the facility, game management, and event coordinator. Provide shift supervision and employee oversight for facilities when needed.
  • Ensure safe and secure operations of all instructional, athletic, and Recreational facilities, and special events and activities.
  • Coordinated with the Exercise Science chair and other faculty to develop a comprehensive and cohesive schedule that exemplifies teaching and learning.
  • Manage and provide oversight for W.B. Smith gymnasium, Paul Thomas baseball stadium, Wenatchee North Rotary fastpitch field, and Hollis and Knights soccer fields.
