Developmental Coordinator

Simmons Early Intervention Therapy is a well-established pediatric therapy company that provides therapy services for young children. Our therapeutic services help young children to grow and develop while supporting their families in caring for them. We have been in business for over 18 years and our mission to put the child FIRST has led to strong relationships with reputable pediatricians and long term community partnerships.

We are looking for a Developmental Coordinator to assist our team in running a smooth and effective program.

Job Description:

The Developmental Coordinator is responsible for a broad variety of administrative task requiring initiative, strong attention to detail and working knowledge of the organization and its program to carry out all day to day office operations within that department. Work entails confidential and sensitive issues requiring a high degree of discretion and HIPAA compliance. As the Developmental Coordinator, you will work closely with our office manager, office administrator and therapists to ensure the program runs smoothly.

Our Developmental Coordinator's duties includes ensuring the program runs smoothly and efficiently. The coordinator will be responsible for data entry, updating charts, maintaining/creating spreadsheets and ensuring that all policies are being meet. Leadership skills is a must, as you will be responsible for interviewing, reprimanding and or firing within your department. To be successful as a Developmental Coordinator you must have a pleasant personality, as this is also a customer service role as you will communicate with various individuals to include: follow up phone calls to parents, physicians, therapists, community partnerships, etc.

Ultimately, a Developmental Coordinator's duties and responsibilities are to ensure the program runs in a productive and efficient manner and execute all administrative tasks to the highest quality standards. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking skills are essential for this position.

The ideal candidate will present themselves in a professional appearance, friendly with a positive attitude, outgoing personality, tech savvy, competent in prioritizing and working with little to no supervision, multitasker, ambitious, proactive, a problem solver, self motivated and trustworthy.

Responsibilities:

A Developmental Coordinator is an office administration job involving the regular upkeep of important documentation. The person in this position is responsible for handling important records and referrals, as well as updating case files and lists, communicating with therapists and the parents of clients, and overall making sure every step of the enrollment process is completed in a timely manner.

  • Faxing medical records and evaluation results to physicians and record offices
  • Managing referrals and updating the waiting list on a consistent basis
  • Regularly updating documentation (patient records, therapist’s cases, client evaluations)
  • Communicating with hired independent contractors, regularly giving updates and resolving any issues that may arise
  • Messaging and calling parents, therapists, physicians, community partnerships and school directors in regards to our services
  • Assigning and re-assigning clients on the waiting list to therapists based on locations and information provided
  • Receiving faxed documents, scanning them into the computer system, and filing them away in the appropriate spaces
  • Experience with Google programs (Gmail, Docs, Excel) and Microsoft Office required. Previous experience with EMR systems, such as ClinicSource, is a bonus but not required to apply
  • Adding new clients in to the system and inserting private information recorded on the referral forms/paperwork
  • Inserting evaluation summaries into a medical records system
  • Following the routine of adding a new client into the program (referral, paperwork, evaluation, order, assign therapist) and ensuring that every step of the process is complete in a timely manner
  • Speaking with parents to receive information on a referral, schedule evaluations, discuss enrollment issues, or ensure that information recorded is correct and up to date
  • Keeping in close communication with the office manager and supervisor to ensure that goals are being met and issues are addressed and handled in a timely manner
  • Checking the qualifications of referrals and ensuring that those eligible are able to start the enrollment process
  • Maintain an extremely friendly and professional persona and exceptional phone etiquettes at all times
  • Exceptional verbal and written skills
  • Provide accurate program information in-person and via phone/email
  • Keep all files accurate and up to date by managing files, data entry, creating client records via (EMR).
  • Maintain office security by following safety procedures and controlling access (monitor logbook, issue visitor badges)
  • Interviewing, reprimanding and or firing

Requirements:

~Proven work experience as a Coordinator, Administrative Assistant, Office Administrator, Office Assistant, Office Manager or similar role

~Technology savvy with strong computer skills

~Hands-on experience with office equipment (e.g. computers, fax machines and printers)

~Experience with office management software EMR/EHR's, Proficiency in Microsoft Office Suite and Google Suite

~Familiarity with office management procedures and able to type a minimum of 40 WPM

~Reliable/Consistent in work attendance, Excellent time management skills

~Motivated problem solver and has the ability to work Independently

~Excellent organizational/ leadership skills, Respectful and courteous to staff, clients and superiors

~Knowledgeable of HIPAA regulations and practices

~High school degree required; additional certifications in Microsoft, Office Management and or Administrative Certifications is a Plus!

~Experience with or a passion for young children and or special needs population a Plus!

~High School Diploma or GED

  • Fri. 8:00 AM -5:00 PM (Lunch 12-1PM)
