Job Responsibilities/Duties:

  • Partner with proposal managers, coordinators, technical subject matter experts, consultants, editors, graphic designers, and other team members to produce proposal templates, documents, and related material while ensuring compliance with solicitation requirements and adherence to MSG style guide standards.
  • Assist in the preparation of contract deliverables and conference/meeting materials.
  • Create or work with proposal master documents in Word or PowerPoint, based on established MSG proposal and slide templates and following instructions from the graphic design and editorial support team, as well as the client (documented in an RFI/RFQ/RFP) or from internal customers.
  • Formatting work includes adjusting spacing, standardizing headings, margins, and indentations; typing text, charts, tables, forms; ensuring correct pagination; and inserting figures and photographs.
  • Electronically sort and compile text; proofread; and generate final deliverables in Microsoft and/or Adobe programs.

  • Independently research issues and troubleshoot problems encountered with desktop publishing software.
  • Maintain the integrity of the electronic file management structure and version control in the SharePoint Proposals library.
  • Comply with requirements of electronic file maintenance (limited access to proposal files and supports/controls distribution of proposal files).
  • Perform compliance checks while compiling proposal documents or volumes to confirm that material provided by contributors meets RFP requirements or company guidelines for format (font size, margins, line spacing, brand colors, etc.).
  • Edit proposal and project graphics in Adobe and place final versions of graphics into documents and presentations.
  • Review work to minimize errors and rework errors.
  • Provide peer reviews and format compliance checks for other team members.
  • Work efficiently under conditions of multiple deadlines and changing priorities to produce a large volume of high-quality material with extreme attention to detail.
  • Assist in reviewing, updating, and facilitating template and formatting training to internal teams (Proposal Managers, Coordinators, and end-users such as authors/subject matter experts, etc.).
  • The candidate is required to meet tight turnaround times and work extra hours to meet proposal deadlines as necessary and be willing to work when needed, with some weekend and evening work required.
  • Work with the graphic design and editorial support team, management, and technical staff to develop proposal covers, spines, CD covers, and other proposal graphics to develop print collateral, as needed.
  • Assist in the final package (white glove) review.
  • Assist in maintaining a logical and searchable central knowledge repository of proposals and proposal content.
  • Develop corporate and division marketing materials.

Qualifications:

  • 2+ years of experience working on desktop publishing and graphics in a government contracting environment.
  • This position requires at least 2+ years of experience formatting complex documents using advanced features of Microsoft Word, including templates.
  • Experience in creating and editing PDF documents using Adobe Acrobat Professional is necessary.
  • Working ability to format documents in Microsoft Word, Microsoft PowerPoint, and Excel is required, including the ability to adjust page sizes and margins, set styles, and prepare PDFs.
  • At least two years of experience working on documents on live Microsoft Teams/SharePoint sites with multiple authors is preferred.
  • Above-average communication skills, both written and verbal, are essential, with a proven ability to interface with individuals at all levels of a corporate organization.
  • The ideal candidate will be a problem-solver with a can-do attitude who is comfortable working in a team environment as well as independently.
  • Due to the nature of many of our US government proposals, the candidate must be a US citizen.
  • Ability to develop simple graphics, such as organizational charts and flow diagrams in PowerPoint, and translate them to Adobe Illustrator is a plus.
