Reporting to: Coordination Manager
Job Summary: The Department Supervisor is responsible for providing oversight of the day-to-day operations of the team. This includes providing coaching and training to the team, ensuring all policies and procedures are being adhered to, meeting company expectations, maintaining interdepartmental collaborations and fostering communication for the highest level of patient care.
Job Responsibilities:
- Ensure all company policies and staffing protocols are met
- Oversee daily dashboard to confirm Aides' attendance and that patients are safe
- Manage a team of Scheduling Coordinators, review and approve PTO, complete performance evaluations and maintain coverage during absences
- Assist the Coordinators and with difficult-to-staff cases, resolving complaints, incidents and or problems whenever needed
- Responsible for the case assignment to the Coordinators on the team
- Serve as the point of contact for all contracts
- Monitor patient satisfaction and follow up with patients regarding complaints
- Manage information between the patient and the Aides
- Document and manage patient activity
- Work collaboratively with colleagues and participate in weekly Coordination meetings
- Follow up with contracts and communicate any changes in scheduling
- Monitor interdepartmental correspondence to ensure proper and complete follow up on behalf of Coordination department
- Counsel PAs when the incident is beyond a Coordinator's scope of practice
- Monitor PA electronic verification emails to ensure that attendance is being verified
- Complete daily/weekly/monthly logs for tracking the department's performance
Job Requirements:
- High school Diploma or equivalent
- Fluency in English and Spanish
- 3+ years of related experience, preferably within the health care services or homecare industry.
- 2+ years in a supervisory or management role
- Proficiency in Microsoft Office Suite; HHA exchange and Medflyt highly preferred
- Understanding of regulations governing the home care field, related to Medicare, Medicaid and other insurance.
- Ability to effectively communicate with employees, patients and their families, medical and community affiliates
- Understanding of the administration and management of office operations for home care agencies
- Proficiency in providing excellent customer service
