JOB SUMMARY:
Celebrating Life Community Health Center (CLCHC), a Federally Qualified Health Center (FQHC) look-alike has an open position for the Dental Clinic Manager located in Mission Viejo, CA. This manager is responsible for managing of the Dental Clinic operation (front and back). Trains and supervises staff in a number of clinic office functions including systems, registration and front desk, eligibility processing, records and referrals. Ensures protocols and procedures are followed for good results and positive customer feedback. Strong observation and writing skills required to (1) follow up on areas that need improvement, (2) prepare suggested plans, and (3) work through change management. Works with the clinic leadership to evaluate appropriateness and efficiency of systems and procedures and devise improvements as needed. The Dental Clinic Manager works in the team-based model of care.
REQUIREMENTS:

- Maintains highest degree of confidentiality in donor, staff, client, fiscal and organizational matters; understands and meets HIPAA and other requirements.
- Remains up to date on best practices relevant to the position; enhances personal skills.

- Meets criminal background search clearance.
- Meets clinic health requirements to include annual flu and COVID-19 vaccination and annual proof of negative TB test. Receives hepatitis B vaccination if desired.
- Works evenings or modified shifts as needed.
- Understanding and supporting of Patient Center Medical Home (PCMH) concept
- Electronic Health Record experience is a must. Preferably Allscripts PM and EHR.
- LVN License by the State of California preferred
RESPONSIBILITIES:
§ Manages front desk and eligibility staff including processes and procedures.
§ Manages back office operations, including supervising Dental Assistants Front Desk Personnel
§ Manages special issues: complaints, issues with sliding fee scales, eligibility, overload periods
§ Ensures compliance with front desk procedures and provides quality assurance
§ Directly observes levels of customer service and takes action when needed
§ Liaises with all parties involved in billing (front and back office, accounting) to resolve workflow issues
§ Works with accounting and scrubs claims prior to sending to billing clearinghouse
§ Trains new and current non-provider staff on use of the EHR.
§ Assists with quality and efficiency measurement procedures
§ Analyzes cycle times
§ Sets up cash drawers daily and counts collected patient fees and prepares the deposit for banking.
§ Understands productivity goals and benchmarks; reports on and assists with productivity measures.
§ Ensures customer service goals are met through training, coaching and oversight
§ Assists clinic leadership in management of relevant functions at CLCHC clinic sites.
§ Meets with teams as appropriate to provide updates
§ Manages electronic schedules for providers
§ Meets with supervisor regularly for communication on clinic activities, requirements and performance.
§ Participates and contributes to the monthly Operations Team meeting.
§ Completes other duties as requested or assigned.
SUPERVISORY DUTIES
§ Follows company policies in the performance of the job at all times
§ Leads and mentors direct reports to excellent performance; serves as role model for clinic administrative/operations staff.
§ Supervises staff working in front desk, customer service and patient eligibility positions.
§ Ensures staff compliance with company and handbook policies and procedures related to each position
§ Schedules and approves staff absences and arranges for emergency coverage as needed
§ Trains new employees on job functions and arranges for cross-training as needed; coaches and counsels
§ Reviews Paychex Time Management for supervised staff and ensures compliance and accuracy of time and attendance data for payroll processing; signs off on data prior to each payroll.
§ Completes various HR duties including interviewing and selecting new staff, completion of employee documentation, including recognition, appraisal, and discipline documentation.
