POSITION: Database and Prospect Manager

STATUS: Full-Time/Exempt

DEPARTMENT: Development

REPORTS TO: VP & Chief Development Officer


POSITION CONCEPT:


To serve the Mission, Vision and Values of REH, Inc. by playing a key role in gift processing, donor database management, donor record integrity, accurate reporting, and strategic prospect research. This multifaceted position ensures the efficient generation of billing, renewals, and acknowledgments while actively engaging in in-depth research and analysis of individual, corporate, and foundation donors and prospects. The Manager utilizes a variety of sources, tools, and techniques to provide data-informed recommendations to development colleagues, supporting the strategic fundraising efforts of Ruth Eckerd Hall. Additionally, the Manager tracks research findings in the CRM system (Tessitura) and contributes to organization-wide efforts to acquire and maintain institutional data following best practices in data management. Exceptional customer service is a core aspect of this role, requiring collaborative work with internal and external partners to determine the feasibility and scope of research requests and special projects.


ESSENTIAL FUNCTIONS:


Database Management and Prospect Research:

  • Manage Tessitura database for corporate, foundation, individual, member, and community supporters.
  • Generate timely acknowledgments, tax receipts, and past-due reminders.
  • Develop and maintain queries, donor profiles, dashboards, custom reports, and mailing lists.
  • Serve as an active prospect researcher, targeting and cultivating prospects to enhance the donor pipeline.
  • Provide in-depth research and analysis of individual, corporate, and foundation donors and prospects using various sources, tools, and techniques.
  • Prepare written profiles, ratings, and qualified lists to support strategic fundraising efforts.

Operational Coordination:

  • Coordinate and plan future data conversions/upgrades.
  • Liaise with the Finance team for reconciliation of records.
  • Maintain online giving resources and reconcile records with the Finance team.
  • Develop and maintain efficient systems for data cleansing, data entry, and constituency data improvement.
  • Train users on database protocols and procedures.
  • Liaise with Information Technology team.

Additional Responsibilities:

  • Oversee accurate processing of gifts, renewals, and acknowledgments.
  • Manage monthly renewal/invoicing of campaigns and special event pledges.
  • Reconcile daily deposits and ensure appropriate controls.
  • Manage development operations for data integrity, reporting, and audit compliance.
  • Set up annual campaigns, appeals, and functional parameters within the database.
  • Advise CDO on tools to support strategic use of donor data and prospect research.
  • Execute complicated data updates and ensure the team follows database policy.
  • Monitor and escalate incidents of concern, including data breaches.
  • Prepare routine and special queries, assist with data analysis.
  • Professionally represent Ruth Eckerd Hall and the development team at all times, including assisting with special events and projects.
  • Attend various organizational meetings.
  • Complete all other duties as assigned.


QUALIFICATIONS:


Education and Experience:

  • Bachelor’s degree.
  • 3 years’ experience in information service delivery or equivalent.
  • Non-profit fundraising experience with knowledge of contractual agreements and IRS compliance.
  • Fundamental understanding of fundraising concepts and best practices.
  • Understanding of basic accounting principles.

Demonstrated Skills or Knowledge:

  • Competence in developing and implementing management information tools.
  • Excellent communication skills.
  • High attention to detail.
  • Ability to handle confidential conversation, correspondence and records.
  • Ability to communicate with a diverse group of people including staff, donors, members, corporate partners, board members, etc.
  • Ability to exercise judgment in setting up records, maintaining accurate figures and establishing order of importance.
  • Ability to anticipate problems or to identify them before significant impact on service delivery, expenses or revenues.
  • Service-oriented and customer-driven with strong problem-solving skills.
  • Proficiency in Microsoft PowerPoint, Excel, Word, and Outlook.
  • Ability to operate computer terminal and basic office machines.

Physical Demands:

  • Ability to lift and carry up to 25 lbs.
  • Ability to drive.
  • Ability to maintain good attendance is a condition of employment and a function of this position.

Other:

  • Ability to drive with valid driver’s license and safe driving record.
  • Successful completion of background check and drug screening.
