Summary

We are seeking a detail-oriented and organized Customer Service/Order Entry Specialist to join our team! Providing outstanding service to internal and external customers is the goal.

Your primary task is receiving purchase orders (PO) from our customers and accurately inputting them into an easy-to-use windows-based Enterprise Resource Planning (ERP) system. This includes creating and/or verifying detailed job instructions based on the PO specifications and job history to ensure all requirements are met.

Essential Duties and Responsibilities

• Receive and review customer POs
• Meticulously enter PO data into the ERP system
• Identify discrepancies between the PO and the original quote if any, and communicate them effectively for resolution
• Create/verify clear and concise job instructions within the ERP system based on the PO information and job history
• Forward information to appropriate departments as needed
• Provide customers with information on any open orders
• Communicate with customers and vendors via phone and email
• Maintain accurate and organized electronic and paper filing systems for POs and job documentation
• Adhere to all company standards and procedures for job processing
• Perform other duties as assigned

Job Requirements

• Minimum 1 year of experience in data entry or a similar role
• Strong attention to detail and the ability to work accurately with critical numbers such as .0001 vs. .001
• Excellent organizational skills and ability to prioritize tasks
• Proficient in computer skills, familiarity with ERP systems a plus but not required
• Strong analytical skills with the ability to identify and understand job requirements
• Ability to work independently and as part of a team
• Excellent communication skills. Communicates effectively with customers, vendors and teammates at all levels of the organization with good interpersonal, judgment and organizational abilities. Spanish bilingual a plus
• Competent with Microsoft Office Software
• Must have a sense of urgency, be tenacious and detail oriented
• A plus but not required: can read prints/drawings

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Expected hours: 40 per week
