Position Overview:
We are seeking a dedicated individual to join our team as a Customer Service and Administrative Assistant for our gutter and roofing company. The ideal candidate will be responsible for providing exceptional Customer Service to clients while also assisting with administrative tasks to ensure the efficient operation of our office. This role requires a combination of strong communication skills, attention to detail, the ability to multitask effectively, and knowledge of the construction industry is a plus.
Responsibilities:
1. Customer Service:
· Respond promptly and courteously to customer inquiries regarding gutter and roofing services via phone, email, social media, and all current and new marketing channels.
· Manage and respond to messages from personal company email inbox and general company email inbox.
· Provide accurate information about our services and availability.
· Schedule appointments for estimates, repairs, and warranties for gutter and roofing divisions.
· Coordinate with field technicians to ensure timely arrival and completion of service appointments.
· Address customer concerns and resolve issues to their satisfaction.
· Follow up with customers to ensure their needs are met and maintain customer satisfaction.
2. Administrative Support:
· Collect deposits and confirm installation specifications with each customer prior to scheduling an installation.
· Assist with the preparation and ensure accuracy of invoices for gutter and roofing projects and send them to customers upon completion of project.
· Check for any overdue customer invoices and make calls for payment collection.
· Manage customer files and update database with relevant information.
· Assist with scheduling and dispatching of service crews.
· Upload final photos of gutter jobs into customer files daily.
3. Team Collaboration:
· Collaborate with management, sales representatives, project managers, and field technicians to ensure clear communication and coordination.
· Provide administrative support to various departments as needed.
· Contribute ideas and suggestions for process improvements to enhance Customer Service and operational effectiveness.
Qualifications:
· Pervious experience in Customer Service and/or administrative roles, preferably in the construction or home improvement industry.
· Customer focused attitude with a commitment to providing exceptional service.
· Excellent communication skills, both verbal and written, with the ability to communicate technical information clearly and effectively.
· Strong organizational skills and attention to detail.
· Ability to multitask and prioritize tasks in a fast-paced environment.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM software.
· Flexibility to adapt to changing priorities and requirements.
· Ability to deal with problems involving several concrete variables in standardized situations.
· Knowledge of gutter and roofing systems, materials, and installation processes is advantageous.
Job Type: Full-time
Pay: $16.00 - $20.00 per hour
Expected hours: 35 – 40 per week
