Job description

The Warhol is one of the four Carnegie Museums of Pittsburgh, and a collaborative project between Carnegie Institute, Dia Art Foundation, and The Andy Warhol Foundation for the Visual Arts, Inc. Plans to house The Warhol in Pittsburgh were announced in 1989, and the museum opened its doors during a 24-hour celebration on May 13, 1994. Originally built in 1911 as a distribution center for products sold to mills and mines, The Warhol was redesigned by architect Richard Gluckman and features seven floors of gallery and exhibition space as well as an underground level that houses The Factory education studio and the conservation lab. The Curatorial Coordinator & Assistant works closely with the curators to ensure that the work flow for the artistic program for the Andy Warhol Museum functions effectively and efficiently. In collaboration with the Chief Curator and curatorial department team, they assist in compiling research and writing for collections, exhibitions, acquisitions, and deaccessions. The Curatorial Coordinator and Assistant is responsible for general administrative work. They work with the Chief Curator to develop an appropriate distribution of responsibilities for exhibitions, gallery rotations, and special projects.
Qualifications
Education and Experience:

  • Requires a bachelor's degree (master's preferred) in art history, studio art, media studies, arts administration or comparable degree in a related field.
  • A strong background in the visual arts is preferred, at least two years of administrative experience, preferably in a museum or comparable organization.

Knowledge, skills, and abilities:
  • Candidate must have initiative to undertake and complete tasks and projects as they arise, to contribute intellectually to the content of exhibitions and permanent collection installations, and to coordinate and make recommendations for improving the overall functioning of the department.
  • Requires strong research and analytical skills, ability to work collaboratively and collegially with staff and interface diplomatically with internal CMP colleagues, donors and outside professionals in the field; s/he must be highly organized and able to work both independently and as a productive member of a team.
  • Outstanding written and oral communication skills are essential.
  • Must be proficient in Microsoft Office programs, including Word, Excel, Access, Outlook, and PowerPoint, as well as with Internet-based, archives and collections research.
  • Expected to gain familiarity with Sketch-Up and Adobe Creative Cloud Suite, and The Museum System (TMS) CMOA's collection management system.

PHYSICAL REQUIREMENTS: Work is primarily sedentary in nature. Some out-of-town travel and occasional evening and weekend work may be required.
Principal Accountabilities
  • Assists with creating, developing, and maintaining exhibition checklists and object labels for internal collection rotations and temporary exhibitions.
  • Drafts texts for portions of acquisition reports.
  • Develops proficiency with museum's collections management system (TMS - The Museum System); inputs and updates information and generates reports and other documents using the system.
  • Working with the curators and registrars, processes and tracks loan requests made of or by the departments.
  • Fields questions regarding collections and directs inquiries to appropriate curators; follows up as required. Handles written correspondence as directed by the curators.
  • Assists in compiling research and writing for collections and exhibitions.
  • Sorts, files, and maintains records, correspondence, and other documents. In consultation with the curators, implements improvements to the systems as required. In accordance with accepted procedures, destroys outdated file materials or transfers them to inactive storage.
  • Assists in managing and mentoring departmental interns.
  • Prepares outgoing mail and interdepartmental correspondence for delivery.
  • Tracks budgets and maintains accurate records of curatorial expenses; checks records against monthly statements; resolves discrepancies; and produces reports as required.
  • Verifies, codes, and processes invoices, check requests, travel and entertainment reimbursements, and wire transfers in a timely manner.
  • Manages curators' appointment schedule, travel arrangements, and itineraries.
  • Manages arrangements for visits by artists, advisors, designers, and other professionals.
  • Orders books as required.
  • Assists with planning related to the annual exhibition calendar.
  • Other duties as assigned.
