Job description

Position Information

The Clerk of the Circuit Court is seeking a Court Specialist II to provide administrative and/or program support for the Court system. This position will manage court dockets, including appeal cases from the lower court system and review and maintain the court case management system. In addition, this position will assist judges and chambers staff by researching history of cases and legal issues.
Specific duties include:


  • Coordinating specialized Court services (e.g., language interpreters, Independent examiners) to participate in hearings;
  • Assigning and reviewing the preparation of case studies, motions, recommendations, etc. for the professional staff;
  • Reviewing work products of other Court staff to ensure adherence to legal requirements;
  • Developing and implementing administrative procedures and systems to insure the timely and efficient processing of documents;
  • Assisting employees with unusual or complicated issues;
  • Completing state-required forms on behalf of the Court (e.g., when a defendant is declared incompetent);
  • Assisting with weighted caseload entries to the Supreme Court and with court data tracking and reporting requirements (e.g., caseload statistics, docket records); and
  • Initiating requisitions and purchase orders and entering invoices into the County's automated financial system; and
  • Preparing routine legal documents.

The ideal candidate will have experience with the following:
  • Applying a substantive knowledge of a wide variety of complex administrative rules, procedures, policies and/or operations to administrative/program assignments; and
  • Assisting in the development of administrative procedures and systems specialized in the legal environment.

Selection Criteria

Minimum:

  • High school diploma or equivalent;
  • Significant administrative support or administrative program experience in a legal or criminal justice environment.
Substitution: Successful completion of college coursework may substitute up to one year of experience. Additional related experience may be substituted for up to two years of high school on a year for year basis.
Desirable: Preference will be given to applicants with experience in one or more of the following:
  • Preparing court orders;
  • Processing post-court entries into the Court's Case Management System (CMS);
  • Reviewing and disseminating court daily dockets;
  • Working with sensitive and/or confidential information, especially related to handling of legal information; and/or
  • Familiarity with legal terminology.

Special Requirements

A pre-employment criminal records check will be conducted. It may include checks of the following: criminal record, driving record, education, professional licensure, and credit history. You may be required to sign a release authorizing the County to obtain your background information. Any offer of employment will be contingent upon successful completion of a background check.

Additional Information

This is a 40 hour a week position. Normal work hours are 8:000 a.m. – 5:00 p.m. Monday through Friday.
