MISSION STATEMENT

STATEMENT OF DUTIES

General Statement Of Duties:
Assists in the development and implementation of court program policies and procedures, including the review and evaluation of organizational resources related to training, system development and maintenance and court management technology.

Distinguishing Factors:
Positions in this classification are distinguished from other classifications by the concentration on assisting in the development, implementation and maintenance of activities related to Court Operations. This position reports directly to the Administrative Authority or designee.

ADDITIONAL COMMENTS

The successful candidate must be a self-starter and demonstrate strong leadership, customer service, organizational and communication skills. The successful candidate will be responsible for one's own work product and will provide leadership, guidance, assistance, or mentorship to coworkers, volunteers, or interns. Preference given to applicants who have district court civil and juvenile court case processing knowledge and experience.

Responsibilities include but are not limited to: will work in tandem with other Court Operations Specialists improving existing court procedures and develop, implement and train existing and new procedures and processes; act as a liaison between SCAO and the district as well as serve as a liaison between the clerk’s office and divisions; analyze procedural issues and practices and make recommendations for process enhancements; provide thorough new employee training/orientation and remedial training for senior staff; assist in the Court Information Center, provide back up to the Clerk’s Office and divisions, including occasional weekend bond hearings when necessary and collaborate to ensure compliance with records request requirements and standards.

The current position is a promotional opportunity as defined in the Colorado Judicial Department Personnel Rules open to current Colorado Judicial employees. This position is posted until filled with the first review occurring January 29th.

ESSENTIAL FUNCTIONS

Reviews and evaluates organizational resources; provides analysis and recommendations for efficient usage of court resources.
Participates in the development, analysis, maintenance and training of a variety of systems, processes and procedures related to court activities; maintains and updates manuals, training and other resource materials.
Acts as a liaison between courts and the State Court Administrator’s Office regarding consistency and globalization of court policies and practices.
Maintains relationships with external agencies and internal departments; acts as a liaison between clerk’s office and division staff.
Monitors and analyzes management reports to identify trends that may impact caseloads; communicates with District Administrator, Clerk of Court and/or Judges regarding findings.
Schedules and coordinates work of Court Judicial Assistants or other positions as needed.
Attends meetings and trainings as required.
Performs other duties as assigned.

ESSENTIAL FUNCTIONS CONT.

Supervisor Responsibilities:
No formal supervisory responsibility. Responsibility for one's own work product and work within a unit performing similar functions. May provide lead function, advice or explain work instructions to other employees or volunteers.

MINIMUM QUALIFICATIONS

Minimum Education:
Graduation from an accredited college or university with a bachelor’s degree in business, public or court administration and two years’ of direct court related experience with proficiency in court data management systems.
OR
Additional directly related court experience may be substituted for the formal education on a year-to-year basis.

Physical Demands:
While performing the duties of this job, the employee is regularly required to sit; use hands to perform repetitive motions, talk and hear. The employee is frequently required to walk/move about. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception and ability to adjust focus.

Work Environment:
The noise level in the work environment is usually moderate. May handle emergency or crisis situations; is subject to many interruptions; may handle multiple calls and inquiries simultaneously and may occasionally handle absentee replacement on short notice.
