The Department of Laboratory Medicine and Pathology has an outstanding opportunity for a Courier Coordinator.
WORK SCHEDULE
  • 40 hours per week

    REQUIRED POSITION QUALIFICATIONS
  • High school graduation or equivalent AND two years of experience in the program specialty, OR equivalent education/experience.
    ADDITIONAL POSITION QUALIFICATIONS
  • Prior Experience in Logistics, transportation coordination, or a related field.
  • Must also provide a minimum 3 year State issued driving abstract that is acceptable.
    DESIRED
  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a relevant field OR any equivalent combination of education, training, and experience that demonstrates the required skills and knowledge for the role.
    PRIMARY JOB RESPONSIBILITIES
  • Handle communication duties between the courier team and our internal and external partners.
  • Primary point of contact to resolve client and staff questions and issues by phone or email, escalating to Program Operations Specialists or Manager, as needed.
  • Ability to use and answer questions about our MCE digital route scanners, understand the client interface, and assist with troubleshooting.
  • Collaborate on research and contribute to writing or editing content aimed at explaining and promoting the initiatives of the UWMC Courier Team.
  • Train staff and complete competency checklists to document training progress and proficiency.
  • Create and implement SOP's, guidelines, expectations, and meeting notes.
  • Oversee implementation of policy and procedures, providing coaching to staff when issues arise.
  • Document and assist with incident and accident reports and response.
  • Conduct weekly inventory and purchase necessary supplies using UWMC Purchase Path system.
  • Monitor courier callouts and schedule changes.
  • Arrange Utility (back-up) couriers to cover routes, as needed.
  • Send out a daily report and conduct daily one-on-one meetings with the on-site lead daily to review operations, current projects, and problem solve issues.
  • When necessary, support Program Operations Specialists and Manager in scheduling candidate phone screens and interviews.
  • Maintain and update the courier team’s weekly staffing schedule.
  • Assist Program Operations Specialists with bi-annual vacation bids.
  • Input and reconcile Kronos weekly timekeeping.
  • Assist in creation and implementation of emergency preparedness plans (i.e., Inclement Weather Plans).
  • Develop new office or administrative procedures through research and analytical methods; ensure team adherence to established office protocols.
  • Support the continued use and operations of office equipment (copier, computers, printer, and fax machine).
  • Work with the Lead to facilitate necessary communications with Fleet Services.
  • Address policy implementation, courier concerns, equipment issues, route changes, checklists, and vehicle cleanliness on a regular basis.
  • Oversee the implementation of vehicle safety measures, including scheduling regular maintenance for cars, ensuring routine checks, replacement of batteries, and maintaining fully stocked black duffle bags in each vehicle.
