Job description

The Correspondence Specialist in the Office of the President is responsible for originating and developing correspondence in the president's voice, ensuring accuracy and professionalism. The Office of the President is an exciting, fast-paced environment that operates with enthusiasm, efficiency, and dedication to IU. Department-Specific Responsibilities

  • Conducts independent research and collaborate with others in the office and across the university in the production of letters, as well as talking points and additional written communications as needed for the president.
  • May also take on other projects as assigned.
  • Interacts with the administration and their teams, internal and external constituents of the university, and other partners and special guests.
  • Manages deadlines.
  • Writes and edits clear, informative, and compelling correspondence and other communications products for the president of Indiana University.
  • Independently corrects basic and complex grammar, spelling, punctuation, formatting, and syntax errors and performs edits that improve the overall writing quality of communications.
  • Builds positive working relationships and regularly coordinates with offices and organizations across the university to gain the appropriate background information needed to formulate written materials and to determine additional opportunities for presidential letters.
  • Assumes full ownership of the correspondence process from content creation to distribution.
  • Manages special tasks as assigned and willing to take on responsibilities beyond the scope of job description as needed.
  • May provide guidance to other Writing/Editing Specialists and student interns.
  • May support operational functions of the office, such as opening/closing, reception, inventory.
General Responsibilities
  • Writes and edits clear, informative written content for various communications needs, audiences, and publication formats, assessing for relevance, accuracy, and appropriateness, and tailors the degree of copyediting to a project's specific needs.
  • Independently corrects basic and complex grammar, spelling, punctuation, formatting, and syntax errors and performs edits that improve overall writing quality of communications and ensure alignment with university mission, strategies, objectives, and brand and accessibility guidelines.
  • Performs reviews of peer writing to ensure grammar, quality, tone, and level of depth are sufficient; may also review against requirements for specific publications, including content, length, brand guidelines, and deadline specifications.
  • Regularly consults with writers, printers, faculty, staff, and other stakeholders to ensure adherence to writing and publication deadlines.
  • Identifies user and audience needs and analyzes existing content usage to identify content gaps; plans, develops, and publishes internal and external communications.
  • Drafts sample communications to be reviewed with manager at project deadline checkpoints.
  • Maintains appropriate files.

EDUCATION
Required
  • Bachelor's degree in English, communications, journalism, public relations, or related field
WORK EXPERIENCE

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
Position may occasionally need to work on other campuses.

$50,000 - $55,000 per year based on experience

Monday- Friday
8:00AM-5:00PM
