What does a great Corporate Travel Coordinator do?

As a Corporate Travel Coordinator you will be supporting and working closely with leaders of the company which addresses their travel needs upon demand.  As well as being the main contact point between our travel fulfilment provider and our travelers you will also be the main contact for the booking tool related issues.

  • This is a high visibility position for the leaders of the company which addresses their travel needs upon demand. 
  • Reviewing itineraries in the GDS to optimize routes. 
  • Look for ways to reduce costs when multiple travelers go to the same destination. 
  • Work closely with SLT members and their administrators and assist with all aspects of their travel needs. 
  • Establish and maintain strong relationships with all travel suppliers (airlines / OTA's, TMC's, Hotels etc)
  • Serve as a main contact point between our travel fulfilment provider and our travelers
  • Be a point of contact for booking tool related issues and report or escalate accordingly.
  • Handle highly confidential information regarding Travelport employees and company decisions and/or policies. Update our internal Corporate Travel website.
  • Review travel reservations to ensure compliance with the Corporate Travel Policy.
  • Identify any out of policy reservations and engage directly with the traveller and or their manager to maximise cost savings.
  • Maximise cost savings by utilizing all aspects of supplier contracts, free tickets, and any available reward points.
  • Maintain multi-tiered rapport and communication with travelers, travel arrangers and senior management, through use of a dedicated web page and emails in order to keep them apprised of new programs and any specific travel related offers.
  • Ensure all bookings are captured and transmitted to Safety-Security Provider in co-operation with Travelport Corporate Security.
  • Work with various internal departments to secure and negotiate air, hotel, and ground transportation as needed for meetings and or company events.  
  • Work in conjunction with Accounts Payable to ensure compliance with the travel policy through ongoing communications and escalation to Internal Audit.
  • Reconcile monthly invoices with Accounts Payable and work as needed with corporate credit card administrator and credit card representatives.
  • Assist with the creation of quarterly reporting for senior management, which includes spend details, out of policy bookings and all miscellaneous cost savings. 
  • Participate in industry associations, attend industry conferences and training seminars to maximise effectiveness and job knowledge
  • Work after hours and on weekends if required. 

Who we are looking for in this role:

  • Direct travel agency experience and extensive knowledge of the travel industry would be an advantage 
  • Knowledge and experience of airline fares and pricing
  • If you have GDS experience that would be great, otherwise training and support will be provided.
  • Knowledge of complex airline routings, international faring, and international document requirements would be advantageous, however training and support will be provided
  • Possess exceptional interpersonal and communication skills in dealing with all employee levels, senior management, and travel suppliers as well as the ability to work independently.
  • Working knowledge of Microsoft Word and Excel. 
  • Must be skilled in problem solving, be able to work against deadlines and under pressure and have the ability to handle daily high volume travel requests, and address traveller inquiries in a timely manner
