About This Position

This position requires an individual with the ability to analyze the requirements of corrections-related Requests for Information (RFIs),Requests for Proposals (RFPs), and other solicitation documents and prepare written responses. This person will work directly for the Director of Proposal Development and will be responsible for coordinating input from various department managers, utilizing sales/operations input, following all RFP specifications, and using Keefe's response library to prepare content for review by regional sales management.  The Corporate Proposal Writer will partner with internal and external Executives, Project Managers, and Business Development Leads to prepare compliant winning RFQ /RFP responses as well as activities that support our growth initiatives. This role requires the highest level of attention to detail and an ability to work under pressure and to demanding deadlines.

 

 

Essential Functions, Duties, and Responsibilities

  • Responsible for the planning, writing, and production of responses to various City, County, and State level Requests for Proposals (RFPs) for inmate commissary services for Keefe Group.
  • Collaborate with Sales, Marketing, Administrative, and Operational/Technical teams and executives to gain knowledge, verify documentation accuracy and usability, and to complete assignments by published deadlines.
  • Ability to work with multiple department leads to assemble materials and manage the entire proposal process from start to delivery
  • Ability to work on multiple projects simultaneously.
  • Responsible for proposal management, creating timelines/responsibility of assignments and driving continuous communication. Identify and remove barriers of progress, escalating issues as needed.
  • Attend proposal kickoff meetings, review meetings, and final document review.
  • Complete miscellaneous projects as assigned by the Proposal Development Manager and/or Director of Proposal Development.
  • Coordinate proposal input from a variety of stakeholders, typically involving contributions from sales, technical/IT teams, operations, finance, legal and various departments within Keefe Group/TKC.
  • Ensure proposal documents follow corporate branding guidelines, standard formatting, and quality standards.
  • Provide advice on flow, language and grammar to content owners.
  • Consolidate sections and/or documents developed by others team members into the required format.
  • Collaborate with the team to improve and streamline the proposal development process.
  • Maintain the strict confidentiality of sensitive information.
  • This position establishes work procedures and standards to improve efficiency and effectiveness of assigned operations.
  • Other duties as determined by the needs of the business.
What You'll Need
  • Bachelor's degree (B. A.) from four-year college or university; or minimum three years related experience and/or training in facilities management and procurement; or equivalent combination of education and experience.
  • 3-5 years of Request for Proposal or Competitive Bid writing experience preferred.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
  • Must be a self-starter who can work well with people at all levels both in and out of Keefe Group/TKC Organization in a professional manner.
  • Ability to manage all aspects of the writing process (outlining, planning, writing, research and interviews, editing, proofreading, final publication) while meeting stringent deadlines.
  • Ability to write from both a semi-technical and client perspective.
  • Excellent attention to detail in relation to editing and proofreading skills.
  • Ability to produce simple graphical diagrams when needed to illustrate operational procedures.
  • Ability to work well with ever changing priorities and situations.
  • Excellent project and time management skills
  • Ability to multi-task and handle multiple deadlines and assignments.
  • Ability to prioritize projects.
  • Excellent organizational and interpersonal skills.
  • Strong verbal and written communication skills.
  • Ability to work independently or within a team.
  • Proficient in MS Word, MS Outlook, MS Excel, and Adobe Acrobat
  • Develop excellent product knowledge of Keefe Group products.
  • Must have the ability to travel.
