CORPORATE EVENTS COORDINATOR

JENNMAR is seeking a Corporate Events Coordinator who is invested in our mission and will represent JENNMAR and its affiliates in a positive and professional manner. This position works in close collaboration with our Marketing and Sales departments and is responsible for overseeing all trade shows and events. The ideal candidate will have established professional writing/editing experience, and confidence in communicating and understanding our products and business culture.

This person will have meticulous project management skills, manage budgets, timelines and vendors, while coordinating with sales, executives and other cross-functional teams to ensure success. This person should be adept at working within a team environment and equally comfortable working independently. Strong written and verbal communication skills are an absolute must, as they will be tasked with interfacing and managing projects with internal and external stakeholders at different levels of the organization. Candidate will be required to provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external partners at all events. This person will manage the coordination of multiple events simultaneously. Beyond trade show management this person will also play a role in supporting the Marketing Manager with logo merchandise and branding tied to the company.

MAJOR REQUIREMENTS AND QUALIFICATIONS:

  • Associates Degree required, in Event Management / Hospitality / Marketing / or related field, BS/BA degree preferred

  • Excellent communication skills, including writing, proof reading, and speaking skills
  • Excellent organization skills and experience with project management
  • Ability to manage multiple projects and work assignments from a variety of staff and volunteers
  • Excellent interpersonal skills
  • Ability to accomplish projects with little supervision
  • Excellent customer service skills in addition to an attitude for quality service delivery
  • Self-driven and embrace ownership / accountability
  • Fluency with Microsoft Office suite including Outlook, Word, Excel, PowerPoint
  • Active engagement across social media platforms, digital collaboration resources, etc.

EVENT PLANNING AND PRODUCTION:

  • Candidate will be responsible for all aspects of all outside events including trade shows, any sponsored events, and sales/customer events
  • Negotiate space contracts or book event/booth space
  • Purchase and reserve best locations booth spaces
  • Arrange food and beverage, order/purchase supplies, equipment, and sponsorships for all trade shows
  • Make all travel arrangements for attendees’ transportation / hotels / purchase badges for shows
  • Conduct research, make booth construction site visits, and find resources to help staff make decisions about event possibilities
  • Work as a link to vendors on issues relating to an event
  • Design and implement strategy to publicize events and promote sponsorships via working with marketing team to organize and ensure messaging is timed and released promptly to effectively promote events
  • Take promotional photos of live events to post on social media to bring awareness
  • Maintain inventory on promo items and apparel
  • Supply and ship out all of sales team with promotional items or apparel when requested
  • Purchase promotional materials, notebooks, packages, gift bags, seating cards, etc. with-in budget for all events
  • Promote conference, convention, sponsored events and trades show services by working with Marketing to promote product awareness

EVENT ADMINISTRATION:

  • Communicate between Sales, Marketing and Management to ensure correct product promotions
  • Prepare budgets and provide periodic progress reports to staff directors for each event project
  • Keep track of event finances including check requests, invoicing, and reporting
  • Provide effective coordination to event schedules and appointments on the calendar
  • Ensure event activities (including before and after event) are properly documented for effective internal and external communication drive
  • Conduct post-event evaluations to determine how future events could be improved upon
  • Follow event activities to ensure established laws and regulations are strictly followed and participants satisfied; also ensure any problem that may arise is quickly resolved

SPECIAL PHYSICAL AND/OR MENTAL REQUIREMENTS:

  • This position will require significant travel 50%+, with some night and weekend work/stays required.
  • The ideal candidate will be able to travel extensively throughout the world.
  • Must be able to lift up to 20 lbs
  • Possess close visual acuity, near/far vision, and multiple limb coordination
  • Possess manual dexterity and moderate (10-20 lbs) lifting capability while performing essential job duties
  • Possess repetitive standing, walking, and/or bending capability during normal phase duties
