SUMMARY

We are seeking a highly organized and detail-oriented Corporate Communications Assistant who is passionate about our company and people to join our Employee Experience & Corporate Communications team. You will play a crucial role in supporting the efficient functioning of our department and assisting in the execution of various initiatives that support culture, DEI, employee engagement, Corporate Communications and social responsibility. You will work closely with the team, providing administrative and logistical support, managing calendars and travel arrangements, coordinating meetings and events, and ensuring smooth communication flow within the department and with external stakeholders. This position requires excellent organizational and communication skills, as well as the ability to handle multiple tasks and prioritize effectively with minimal supervision. This position serves as the Admin for the Director of Culture, DEI, Engagement & Corporate Communications, along with the broader team as needed. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Provide administrative support, including scheduling meetings, managing calendars, making travel arrangements, itinerary planning, and expense report creation and submission. 
  • Manage and prioritize incoming communications, including emails, phone calls, and mail, and respond or redirect inquiries as appropriate.
  • Coordinates administrative resources for the department including ordering office supplies.
  • Coordinate logistics for department and company-wide meetings as well as corporate events, including venue bookings, audiovisual setup, catering, engagement activities, and participant communications.
  • Assist in the preparation and distribution of communication materials, presentations, and reports, ensuring accuracy and adherence to branding guidelines.
  • Help maintain the department's management and collaboration systems, ensuring information is organized, easily accessible, and up to date.
  • Assist in maintaining and updating media contact lists, databases, and distribution lists.
  • Coordinates program activities and meetings with internal and outside agencies/partners and serves on planning committees for various efforts as assigned.
  • Effectively manages assigned duties associated with special projects - as assigned to support the broader team.
  • Support the department in tracking budgets, processing invoices, and maintaining financial records.
  • Collaborate with cross-functional teams to facilitate effective meetings, communication and information sharing.
  • Quickly learns and understands current and new technologies and helps the team adapt quickly to new applications of technology.
  • Requires polished communication skills and occasional flexibility in work schedule to support key deadlines and company activities outside of normal business hours and days; being a strong team player who can effectively manage competing demands, and excellent organizational skills with great attention to detail.
  • Provides backup support for HR Admin team.
  • Works under minimal supervision.  Handles confidential information.

EDUCATION and/or EXPERIENCE

Associate's degree (A. A.) or equivalent from two-year college or technical school; Bachelor's degree (B.A.) from four-year college or university is a plus; and one to two years related experience and/or training; or equivalent combination of education and experience. 

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups employees of organization.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

COMPUTER SKILLS

Proficient in Outlook, Word, Excel, Power Point, Teams & SharePoint applications.
