Definition and Purpose

Under the direct supervision of the Assistant Director – Public Relations, Leadership, and DEI, the Coordinator IASI Student Government manages the day-to-day operations of ASI Student Government, and supports, communicates, and consistently implements ASI policies and procedures, as they relate to the program. Certain non-specialized Coordinator duties and assignments are fluid and are periodically reviewed and revised based on program philosophy, professional development, and staff needs.

Additionally, all ASI employees are responsible for upholding the core values of the organization including but not limited to exhibiting professional behavior, acting as a role model to others, displaying a positive and cooperative attitude, communicating effectively, developing expert knowledge in area of specialization, and working together as a team.

Educational and Qualifying Experience, Skills, Licenses, CredentialsEducational/License/Credential Requirements
  • Graduation from a four-year college or university (8 years applicable experience may be substituted for educational requirement).
  • Current certification in parliamentary procedure (or must complete within first year of employment).
Experience Requirements
  • Minimum three (3) years' experience, five (5) years preferred that demonstrates the ability to perform the essential functions of the job.

Preferred Experience/Skills

  • One (1) year of professional student services experience.
  • Minimum two (2) years' experience coordinating training and development programs
Knowledge/Skill Requirements
  • Working knowledge of correct English grammar, spelling, and punctuation.
  • General knowledge of office methods, equipment, procedures, and practices.
  • Knowledge of Windows-based computer systems.
  • Ability to effectively communicate both orally and written; strong public speaking ability.
  • Ability to establish and maintain a cooperative working relationship with staff, students, faculty, and others.
  • Demonstrated skills in group mentorship /leadership.
  • Ability to gather and analyze data in order to draw valid conclusions and make appropriate recommendations.
  • Excellent organizational skills and the ability to coordinate multiple projects and meet deadlines.
  • Working knowledge of safety standards and procedures.
  • Working knowledge and understanding of financial record-keeping methods, procedures, and practices.
  • Strong project management skills required.
  • Awareness of student programming trends.
  • Working knowledge of the practices, procedures and activities of student personnel development and programming.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere.
  • Ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds, specific needs, or limitations.
Advising and Mentorship Responsibilities
  • Mentor and advise ASI Leadership Team members and ASI Standing Committee Chairs, as assigned by the ASI Executive Director.
  • Facilitate meetings, establish goals, and monitor day-to-day operations.
Essential Duties and ResponsibilitiesAdministration
  • Handle confidential sensitive information and situations using professionalism in effectively dealing with a broad range of interpersonal contacts, including those at a higher level.
  • Ensure all ASI Student Government volunteers meet all mandates required by the CSU and ASI; including but not limited to eligibility to serve, training requirements, and administrative paperwork.
  • Review action items, memos, and minutes for the ASI Board of Directors for accuracy.
  • Advise and assist in the planning and project approval process for Student Government activities, initiatives, and campaigns.
  • Interpret, communicate, and apply applicable national, state, CSU, Cal Poly, and ASI policies, procedures, bylaws, laws and Executive Orders as it relates to ASI Student Government.
  • Perform research, prepare reports, and compile historical data.
  • Ensure project deadlines are met.

Board of Directors/Standing Committees

  • Serve as the advisor to the ASI Board of Directors and attend ASI Board of Directors Meetings.
  • Attend ASI Board of Directors Workshops as needed.
  • Serve as advisor to ASI Board of Directors standing committees (as designated by the ASI Executive Director).
  • Attend ASI Standing Committee and Student Government meetings as necessary.
  • Provide support to the Board of Directors and Board of Directors Standing Committees by ensuring timely preparation and posting of agendas and other appropriate documents, meeting all legal and organizational guidelines.
  • Manage the day-to-day operations for the ASI Board of Directors, including but not limited to, communication, policy enforcement, action item matrix coordination, and follow-up activities for the ASI Board of Directors and ASI Board of Directors standing committees.
Training and Development
  • Coordinate the transition process for incoming Leadership Team and Student Government members, including but not limited to recruitment of the subordinate positions, facilitation of scholarship distribution, eligibility, calendaring important dates, etc.
  • Facilitate training and development opportunities for Student Government leaders, equipping them with the necessary skills and knowledge to effectively fulfill their roles and responsibilities.
  • Plan, execute, and evaluate the annual ASI Leadership Team Orientation and Retreat.
  • Work in conjunction with the ASI Leadership Team to plan, execute, and evaluate Student Government Fall Kick-off, Winter Kick-off, Spring Preview, and the Student Government Professional Development Series including creating, scheduling, and presenting training modules as needed.
  • Develop training for ASI Standing Committees and Standing Committee Chairs.
  • Complete ongoing training assessments and implement findings.
  • Implement student learning outcomes training and assessment initiatives for Student Government members.
General Student Government
  • Advise on policy development and implementation via the ASI Bylaws.
  • Serve as a mentor to members of the ASI Leadership Team (as designated by the ASI Executive Director).
  • Serve as the liaison with the Dean of Students Office regarding Student Government member eligibility.
  • Serve as the liaison to the University President’s Government Affairs Office and California State Student Association government relations staff.
  • Collaborate with student leaders and advisors to develop initiatives, ensuring they reflect the needs and aspirations of the student body.
  • Support student leaders in their efforts to advocate for student interests, voice concerns, and effect positive change within the campus and local community.
  • Serve as a resource and advisor to Student Government leaders, providing guidance, mentorship, and support in their leadership roles.
  • Oversee coordination and execution of outreach, education, and logistical support for voter registration campaigns and the general civic engagement efforts of ASI Student Government.
  • Ensure compliance with all local, state, and federal voter registration laws.
  • Ensure the timely communication of Student Government initiatives, events, and passed legislation across all forms of media to educate the Cal Poly community on Student Government efforts in representing the voice of Cal Poly students.
  • Promote collaboration and communication between Student Government and other campus organizations, departments, and external partners to enhance the impact and reach of student-led initiatives.
  • Stay informed about emerging trends, best practices, and legal requirements related to Student Government programs in higher education, incorporating new ideas and strategies into program development and management.
  • Monitor Student Government programming and initiatives at other universities and CSSA and bring applicable updates to the ASI Leadership Team and Standing Committees.
  • Ensure continuity between the branches of ASI Student Government processes, infrastructure, and brand.
Assessment
  • Evaluate the effectiveness of Student Government programs through regular assessment and feedback mechanisms, implementing improvements and adjustments based on data and student input.
  • Develop and execute assessment of programs and/or services for areas of responsibility including, but not limited to, setting and implementing goals, evaluating outcomes, and ongoing enhancement.
  • Participate in the overall ASI assessment planning and goal setting.
Diversity and Inclusion
  • Recommend and support practices intended to eliminate racial, gender, or any other form of bias in processes, policies, and procedures.
  • Demonstrate awareness of one’s own biases, comfort levels, and various aspects of diversity, equity, and inclusion (DEI).
  • Demonstrate effort to understand each person’s individual and collective role in creating inclusive environments.
  • Commit to continuous learning/improvement in DEI and cultural competence.
  • Work with director to review department’s policies, procedures, & practices related to DEI and participate in addressing barriers identified.
Other Duties and Responsibilities
  • Must be available for alternative/evening hours.
  • Represent ASI on committees as appropriate.
  • Attend and participate in meetings as necessary.
  • Ensure continuous professional development.
  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.
  • Other duties as assigned.

This position is subject to a background check (including criminal records) as well as National Address Locater (Social Security Number [SSN] Trace), 7-year County Criminal Search in each county and/or state the applicant lived in based on the SSN Trace, National Criminal Database Search, Name Search, Employment Verification (All employers in past 7 years) and Education Verification (Highest Degree). Credit Reports, Motor Vehicle Record Check and Professional License Verification may also be required based upon the essential functions of the position.
