Job description

The Coordinator, Early Childhood Programs position reports to the Manager of Early Childhood Programs, with responsibilities across all Early Childhood program areas, including the Lullaby Project, Big Note Little Note, Early Childhood Concerts, and Family Days.
Responsibilities:
PROGRAMMING
• Collaborate with program team to plan and implement each season of Early Childhood Programs, including the Lullaby Project, Big Note Little Note, Early Childhood Concerts, Family Days, and professional development opportunities for artists.
• Act as liaison with Teaching Artists, project participants, and program partners to confirm scheduling, workshops attendance, travel needs, and order/ship support materials for projects as needed.
• Work with the Education Administration and Education Production teams to ensure room bookings and hospitality arrangements as needed for events and workshops.
• Attend workshops, performances and conduct site visits as needed. Some weekends and evenings required.
• Coordinate production of printed program materials including compiling and editing copy. Assist program team with any other promotional strategies
• Participate in assessment and evaluation for all programming.
FINANCIAL/CONTRACTING
• Assist team in submitting contract requests for teaching artists and local, national, and international partnerships.
• Assist with processing invoices, artist payments, and reconciling budgets on a regular basis.
GENERAL ADMINITRATIVE DUTIES
• Support all data management, databases, our online resource center, security list management, and calendaring.
• Oversee and delegate tasks to any interns, program assistants, and/or volunteers.
• Respond to public phone and email inquiries about Early Childhood Programs.
• Field unsolicited requests from artists and venues.
• Attend all required meetings and events (internal and external).
Qualifications:
Person should have some experience, interest in and passion for educational and community-based programming, concert production or similar, preferably with family engagement at the focus. Strong communication and interpersonal skills required, as well as ability to problem-solve and trouble shoot on the spot. Person must be able to work collaboratively and be able to manage projects and make decisions independently when appropriate. Person must be extremely organized and be able to multi-task in this fast-paced work environment which often requires multiple, simultaneous deadlines to be met. An understanding of the varying needs of families is important to implementing programs. Working some evenings and weekends is required. Proficient computer skills in Microsoft Office required. Experience in Outlook and Tessitura preferred. Spanish language skills a plus.
