Contract / Sales Administrator, Job Physically Located in La Porte, TX
4 Years Contracts Administration Experience in the Refinery/Chemical/Energy Sectors
10+ Years Experience in Office Administration
Proficient in Microsoft Word, Excel, Adobe, Outlook and Must Work Well in a Team Environment with Diverse Personalities and Assist the Sales Team in Their Efforts to Succeed.
Oral Communication – Speaks Clearly and Persuasively in Positive or Negative Situations. Listens Attentively and Responds Well to Questions. Flexible. Positive Attitude with Strong Customer-Service Oriented and the Ability to Easily and Effectively Communicate with Varying Levels of Management and Customers
Dependable, Dedicated, and Able to Work Independently with Appropriate Supervision. Strong Organizational Skills and Detail Oriented.
Multi-Tasker with the Ability of Planning/Organizing/Prioritizing Work Activities to Utilize Time Efficiently and the Ability to Balance Competing Priorities and to Treat Confidential Information Appropriately.
Written Communication – Ability to Read, Interpret, and Respond Effectively During Contractual Negotiations of Sales and Purchasing Agreements. This Includes the Responsibility to Review, Redline, Negotiate, Sales and Procurement Contracts., Non-Disclosure Documentation, Change Orders and/or Other Relevant Commercial Agreements and Obtaining Required Signatures in a Timely Manner.
Assure Compliance with Standard Company Policies Terms and Conditions, Assisting with Negotiations, Overseeing Legal Review and Approval Processes. Maintaining Contractual Renewal System.
Handles Day-to-Day Administrative Sales Responsibilities Including Maintaining Various Quote/Job Logs, Typing of Proposals, Completion of Prequalification and Other Questionnaires and Understands the Importance of and Has the Ability to Meet Critical Deadlines.
Take All Sales Calls for New Clients and House Accounts and Maintain Sales Projections for Same
Typing, Compiling, Organizing, and Submission of Client Requested Proposal Documentations for Large Bid Packages Including Execution Plans, Safety Plans, Quality Plans, Miscellaneous Documents and Email Communications
Develop a Thorough Understanding of Product/Service Lines
Maintain Document Retention Process
Maintain Inventory of Forms in Stockroom and Place Orders Accordingly
Responsible for Yearly Activities including Vendor Donations for Employee Christmas Giveaways and Set-Up of Annual Corporate Meetings
Responsible for Yearly Calendar Orders and Distribution of Calendars to Sales People
Responsible for Answering Incoming Calls on Wednesday
Responsible for Office Maintenance Including Cleaning Company, Copier Repairs, etc.
Maintain On-Call Lists and Notifications
