Description
The Contracts Administrator reports to the COO and is an integral part of our Operations Team, providing administrative support to all levels of Project Managers (PE, PM, SPM), Superintendents and Division Managers. The Contracts Administrator primarily assists Project Management staff with contract administration for both owners and subcontractors, insurance certificates and safety documentation before the job starts. This position will also provide backup to the receptionist and may occasionally assist other departments.
Responsibilities:

  • Assist in the administration / operational use of the Project Management Platform.
  • Assist in the enforcement, creation and revisions to operational procedures/means and methods.
  • Responsible for owner and subcontractor insurance coordination, tracking and reporting.
  • Subject matter expert on owner and subcontractor insurance requirements.
  • Interface with subcontractors and clients on contract-related issues.
  • Assists in subcontractor pre-qualification / re-qualification process.
  • Maintains the subcontractor database in the Project Management and Accounting Platforms, ensuring current contact information for sub/supplier.
  • Assists Project Managers with project file setup and document creation.
  • Assist in reviewing and editing contracts and subcontracts.
  • Advise internal customers on contract risks and mitigation options.
  • Obtain insurance, bond, and other documentation as required for projects.
  • Audit contracts and subcontracts for compliance with company policies.
  • Responsible for maintaining accurate contact information in the Project Management Platform, planning applications and other systems.
  • Serve as a day-to-day resource for the project management team with contracts and project documentation, assisting in resolving existing or anticipated problems.
  • Through regular project audits, identify common issues and develop training materials to educate staff to reduce risk.
  • Develop relationships with internal and external customers to build trust and become aware of potential future projects, contracts, and issues.
  • Attend and participate in regular team meetings for supported Divisions.
  • Provide backup support to other departments.

Minimum Requirements
  • Minimum of 2 years administrative experience, preferably in the construction industry.
  • Knowledge of the Construction Specific Institute (CSI) divisions is preferred.
  • Ability to prioritize competing demands and meet deadlines.
  • Proficient in Microsoft Office Suite of applications.
  • Excellent written and verbal communication skills.
  • Experience with AIA Contracts and Certificate of Insurance processes preferred.
  • Procore, DocuSign and Spectrum software experience preferred.
