Job Description
GENERAL PURPOSE
Performs clerical duties pertaining to creating and accurately verifying computer input data utilized in the data processing system and assists in maintaining Consumer Services records and files; performs clerical duties pertaining to the keeping of Stockholder records; performs duties required in operating a switchboard to receive telephone calls; performs the duties of a receptionist; duties of daily cashier; responsible for maintaining and utilizing current working knowledge and technical skills applicable to the specific requirements of this position
ESSENTIAL DUTIES/RESPONSIBILITIES
- Processes final readings; prepares journal entries and prepares final statements to be mailed
- Maintains billing on all fire line accounts; mails bills and final notices; posts all payments, assesses service charges when applicable; mailing correspondence, reconciles reports
- Prepares and maintains files of Stockholder records according to establishes procedures involving the recording of pertinent information
- Handles customer inquiries, problems and complaints in person and by telephone; makes telephone contacts to develop information as required for stock; assist in the taking of final reading information
- Operates telephone switchboard, acts in the capacity of receptionist, assisting customers, salesmen, visitors, etc., in locating the proper department, office, or person, (daily) and arranging appointments
- Assists with processing delinquent accounts, final payments, partial payments, payments without bill stubs, and other non-routine billings and payments
- Assists with non-payment turnoffs after checking with cashiers for payments, and prepares list of turnoffs for internal distribution
- Assists customers who come into the office with setting up an “EPAY” Electronic Account on our website
- Assists with maintenance for records of all final billings in order to expedite refunds of duplicate payments, and to expedite the transfer of stock
- Responsible for the proper use and care (including preventive maintenance where applicable) of all Company property utilized in the performance of duties to assure safe and efficient operation; also responsible for reporting the need for repair on all such property to immediate supervisor; follows Company policies, rules and procedures as outlined in the Employee Handbook
OTHER DUTIES/RESPONSIBILITIES
- Maintains meter measurements information
- Processes Stockholder mail and maintains mail return file
- Responsible for proofreading new information of stock, and in balancing the Stockholder list
- Assists in preparations for Annual Stockholders’ Meeting, the verification of proxy returns, and Stockholder registrations (as needed)
- Sorts bills in preparation for mailing
- Performs other duties as assigned
KNOWLEDGE, SKILL & ABILITY
Knowledge of basic customer accounting procedures and the Company’s payment and collection policy; strong proofing skills; knowledge of basic telephone procedures; skill to operate 10-key adding machine, typewriter, paper shredder machine, photocopier, computer terminal, telephone, mail inserting machine, and mail machine; ability to communicate effectively and cordially with customers
EDUCATION OR FORMAL TRAINING
Graduation from High School preferably supplemented by one or more commercial courses; equivalent experience may be substituted
EXPERIENCE
One year in general clerical work, switchboard operation and reception work, or displays an aptitude and ability for such work
MATERIAL AND EQUIPMENT DIRECTLY USED
Telephones, switchboard, computer keyboard/terminals, printers, 10-key adding machine, mail inserting machine and photocopier, typewriter and paper shredding machine
WORKING ENVIRONMENT/PHYSICAL ACTIVITIES
Excellent; frequent exposure to video display terminal
