is Position Overview

The International Bridge, Tunnel & Turnpike Association (IBTTA), the worldwide association for the owners and operators of toll facilities and the businesses that serve them, seeks a Conference Production and Speaker Relations Coordinator to join the Meetings team. The manager will support the Director of Web Services and Conference Production in technical production, speaker and presentation support.

Key Responsibilities

  • Communicate and manage speaker program logistics and requirements and facilitate communication between speakers and moderators to organize session content and ensure cohesive and engaging sessions.
  • Collect and organize speaker presentations and other assets, checking compatibility and formatting along the way.
  • Ensure speakers and moderators are fully briefed on all timing and logistics of session.
  • Prepare session slide decks, as well as internal conference presentations in accordance with scripts, using PowerPoint.
  • Ensure that all speakers, moderators, and agenda information is kept up to date in the association management system and in sync with the printed program.
  • Communicate any speaker/agenda changes to relevant stakeholders and coordinate adjustments where needed.
  • Collaborate with third-party audio/visual companies to coordinate roles and responsibilities for on-site technical production.
  • Participate in logistics and pre-show production meetings and oversee on-site A/V setup to carry out session requirements. Troubleshoot emerging issues and find effective solutions.
  • Assist with creating and updating pre-and post-event website content using Drupal CMS and other tasks supporting the Director of Web Services and Conference Production.

Collaboration

The Manager works in close collaboration with IBTTA staff and members of IBTTA, especially the Director of Web Services and Conference Production, Director of Meetings, and the Meeting Content Producer.

Experience and Qualifications

  • 5+ years’ experience in corporate or association environment
  • Speaker and/or conference/event support is a plus.
  • Tech-savvy individual with working knowledge of Microsoft Office with a strong emphasis in PowerPoint.
  • Knowledge of Photoshop and other graphic/photo/video editing software is a plus.
  • Strong organizational and multitasking skills with a keen eye for detail.
  • Proactive mindset, resourceful attitude, strong work ethic, and team player mentality.
  • Ability to work calmly and effectively in stressful situations.
  • Excellent communication and people skills.
  • Flexibility to travel several times per year.
  • Quick to adapt to new technologies while maintaining a curiosity for emerging tech developments and/or trends in Conference Production.

Job Type: Full-time

Pay: $60,000.00 - $75,000.00 per year
