What you’ll do

Under the direction of the Vice President, Corporate Compliance & Regulatory Affairs, this position is responsible for the management, drafting, distribution and tracking of client’s Administrative Agreements and related contracts utilizing judgement, discretion and knowledge, as well as writing, analytical, organizational and administrative skills with a working knowledge of state and federal regulations to ensure that all client contracts are drafted in a timely, efficient and accurate manner. Also responsible for managing, updating and maintaining various contract templates, and assuming primary responsibility for distribution of Compliance Department client communications, including assembling and sending communications to clients and brokers.

In this role, you’ll also:

  • Manage, prepare and issue contracts and other documents for clients and vendors as required using judgement, discretion and knowledge to incorporate client specific terms, products and services from various templates to produce customized contracts and documents (e.g., Administrative Agreements, Schedule A rate addenda, HIPAA certifications, Run-Out Riders, Vendor Addendums and Agreements [PACE; Guardian Dental])
    1. ASAs and Schedule As should be drafted and issued in a timely manner to meet the company quarterly bonus Performance Measures.
  • Draft new customized ASA and other contract terms for Vice President review, to be incorporated into specific client’s contracts
  • Manage, draft and issue ASA Amendments for clients based on global changed terms and/or client specific changes
  • Manage, update and maintain multiple versions of ASA and Schedule A templates (e.g. network area and plan specific versions such as HPHC vs. HPI, Level-Funded, CIGNA, HST, Dental, Flex, Vision, and client Carve-Outs to Quantum or Accolade)
  • Develop, maintain and manage PC-based tracking systems for distribution of documents internally with various Health Plans’ departments and externally with clients and brokers
    1. Track status of Plan contracts and other documents (e.g., ASA’s, Schedule A’s, Run-Out Riders and HIPAA certifications) and follow up with clients, brokers, Client Services and/or other company or external contacts to ensure timely completion of contracts and regulatory requirements
    2. Issue monthly status report of unsigned ASAs, Schedule As, Run-Out Riders and HIPAA certifications to Client Services, and draft and issue close-out letters to clients for those outstanding 180+ days in accordance with established tracking and auditing policies and procedures
  • Develop and maintain working knowledge of state and federal laws affecting clients’ Plans
  • Assume primary responsibility for distribution of Compliance Department client communications
    1. Develop, maintain and, with Client Services, verify accuracy of client contact address lists for both email and regular mailings
    2. Assemble communications with attachments appropriately versioned by client audience
    3. Execute mailings of communications, maintain records of recipients, resolve issues regarding undeliverable mail, and refer client/broker questions to appropriate staff
  • Maintain company-wide access files for sample communications for each project
  • Manage process of responding to IRS levies and liens against providers, taking action to redirect payments to the IRS as applicable
  • Manage process for issuing SOC I Reports and draft associated Non-Disclosure Agreements as needed to issue reports to clients and third parties
  • Collaborate with Vice President on various departmental and company projects, including but not limited to, analyzing and archiving client contracts and other records, establishing new approaches to affect continual improvement in the efficiency of the department and delivery of services, etc.
  • Establish and maintain rapport with clients, brokers and Health Plans’ staff, assist and coordinate with Compliance and other Health Plans’ departments including Sales, Client Services, and Claims departments to answer questions and resolve outstanding issues
  • Provide day-to-day support services such as copying and/or scanning documents (including those produced under subpoena or as part of appeals process), maintaining department reference materials, coordinating supply requests, etc.
  • Perform related duties as requested by Vice President

What you bring

  • Bachelor’s Degree or equivalent work experience
  • Three to five years’ related experience, preferably in a healthcare or employee benefits administration and/or employee benefits law environment
  • Proficient in Microsoft Office, including Word, Excel, Outlook and PowerPoint
  • Desktop publishing software experience (i.e. Publisher)
  • Ability to understand and interpret client ASAs ad related legally binding contracts
  • Ability to understand technical legal rules in a health insurance/employee benefits context
  • Superior analytical and organizational skills
  • Outstanding oral and written communication skills
  • Ability to prioritize and multi-task highly detailed work efficiently and effectively in a fast-paced environment
  • Ability to prioritize work within specified timeframes and operate under tight deadlines
  • Ability to work independently and on teams
  • Ability to establish and maintain rapport and collaborate effectively with internal staff at all levels as well as with clients, brokers and regulatory agency contacts
  • Attention to detail and follow through to completion
  • Project management experience desired
