Job Title: Collections Clerk

SUMMARY
The Collections Clerk receives and processes customer or financial institution payments such as checks money orders, debit, credit, or cash payments for utility billing. The Collections Clerk ensures a smooth flow of teller lines and drive thru services, providing prompt and exceptional service.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Communicates solutions to walk-in and drive thru customers with service request related to bill payments.
- Properly sorts, opens, and processes incoming mail and night deposit payments.
- Collects and posts payments upon receipt.
- Corrects overages and/or shortages while checking cash drawer.
- Verifies and balances their individual cash collection drawer each day. Strives to maintain a balanced drawer and provides reasoning if drawer does not balance.
- Plans and organizes daily work. Prioritizes using time management methods. Avoids duplication of effort with priorities and estimated schedules.
- Makes recommendations for efficiencies and improvements in service, billing methods, and/or procedures to office Management.
- Follows up with Customer Service Representatives or directs customers to Customer Service Representatives with issues and/or concerns to ensure customer satisfaction. Directs customers to the Assistant Office Manager and/or Office Manager with unsolved issues.
- Enters information into computer to obtain records.
- Performs after-hours and/or weekend work to meet deadlines of the utility billing/collection department and other duties as needed.
- Assists Customer Service Representatives and other office team members in any and all aspects of the District’s office procedures.
- Maintains positive customer-focused relationships with co-workers, management, and customers.
- Adheres to all District safety programs, rules, and regulations.
- Other duties may be assigned as determined by Management.
KNOWLEDGE, SKILLS, AND ABILITIES
- Ability to interact professionally with customers and team members.
- Strong written and spoken communication skills.
- Strong math skills.
- Knowledge of customer service best practices.
- Familiar with common office equipment (computer, copier, printer, phone).
- Familiar with Microsoft applications like Word, Excel, Teams, and Outlook.
EDUCATION AND EXPERIENCE
High school diploma or general education degree (GED) is required. One year certificate from college or technical school; or 6 months of related experience and/or training. The equivalent combination of education and related work experience may be considered.
COMPENSATION
The employee shall be compensated on an hourly, 40-hour work week pay scale with minimal overtime available. Employee will be paid bi-weekly (26 times per year).
Pay range is based on skills, education, experience, etc.
