The School of Nursing has an outstanding opportunity for a Clinical Programs Systems Administratorto provide operational support to the clinical academic programs (Doctor of Nursing Practice, Accelerated Bachelors of Science in Nursing, and the Bachelors of Science in Nursing) within the school. The position will report directly to the Associate Dean of Academic Affairs and be responsible for planning, implementing, and maintaining a centralized clinical program database and management software. This position entails close collaborations with curriculum specialists, the Office of Clinical Placements, compliance, program leadership, students, faculty, and preceptors. This position requires strong organizational and communication skills, attention to detail, and broad knowledge of clinical program requirements, including State and National regulatory and accreditation standards.
Duties and Responsibilities:

  • Planning, implementing, and maintaining a centralized clinical program database.
  • Oversee student, faculty, and staff training for clinical program management program.
  • Create, implement, and manage student clinical training records in compliance with state and national requirements.
  • Oversee clinical program data reporting and reports in accordance with compliance and accreditation requirements.
    Planning, Implementing, & Maintaining Centralized Clinical Program Database and Associated Records (60%):
  • Develop and implement a staged transition of programs (DNP, A/BSN) to centralized clinical management software.
  • Once the transition is completed, responsible for managing centralized clinical program management software.
  • Oversee student, faculty and staff training for clinical program management program.
  • Create, implement, and manage student clinical training records in compliance with state and national requirements.
  • Manage clinical site and preceptor records.
  • Develop clinical training requirements templates for each program (ABSN, BSN) and specialty track within the Doctor of Nursing Practice program.
  • Support the Office of Clinical Placements in preceptor communications, including tracking of precepting hours.
  • Assign faculty access to student and course records in alignment with teaching assignments and clinical supervisory responsibilities.
  • Manage affiliate agreement execution to ensure compliance with student and faculty onboarding requirements.
    Reporting, Evaluation, & Compliance (40%):
  • Manage comprehensive student clinical evaluation (faculty, preceptor, self) implementation and tracking.
  • Oversee clinical program data reporting and reports in accordance with compliance and accreditation requirements.
  • Collaborate with program leadership to align student clinical evaluations to School, State, and National standards.
  • Manage faculty clinical compliance documentation in accordance with School and State requirements, including licensure, onboarding, and document retention
  • Manage preceptor evaluation strategy in collaboration with Office of Clinical Placements and program leadership.
  • Other duties as assigned
    Minimum Requirements
  • Bachelor's Degree in business, administration, public health, psychology or similar field
  • 3+ years' experience supporting curriculum, faculty and students in a clinical program, to include at least two years of work experience at the UW.
    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as license/certification/registration.

    Desired Qualifications
  • Familiarity with the management of the EXXAT platform or other similar platforms
  • Familiarity with UW Time Schedule and curriculum scheduling
  • Experience in nursing education
  • Prior experience working with students in a clinical academic clinical settings
