1. Responsible for ensuring the success of the sales at the clinic.
- Sales-focused and thoroughly trained in order to perform sales and support the clinical team
- Ensures providers demonstrate strong sales, administrative, and organizational skills
- Ensures providers comply with all sales policies, standard ethical sales procedures and defined agreement documentation
- Ensures the clinic's monthly budgets, goals and numbers are at or above the national average
- Conducts frequent and consistent role-playing and training to maintain high quality in the consultation process
2. Responsible for the overall organization and operation of the administrative area.
- Ensures proper completion of all administrative duties and enter data into the computer
- Ensures the cash drawer is kept at proper balance daily and is secured in the safe each night upon closing
- Ensures petty cash balances are secured in the center’s locked safe
- Determines accuracy of the daily cash sheets by initializing paperwork all while adhering to correct closing procedures
- Makes bank deposits each day and ensures the deposit is locked in safe until departure to bank
- Ensures scheduler complies with standards for scheduling
- Ensures refunds / cancellations / removals are properly documented and are processed within 24 hours
- Ensures all client files including credit card and health information are maintained and stored in a secure, locked location
3. Responsible for the overall budget and the financial success of the center.
- Accountable for achieving net income before bonus as budgeted
- Accountable for gross sales revenue, service revenue, retail revenue, net income and gross operating profit as per the annual budget plan
- Ensures growth of existing client base is at or above the center’s budgeted forecast
- Ensures retail revenue per client is at or above the clinic budget
- Keeps payroll at or below budgeted level
- Ensures G&A costs are kept at or below budgeted level
4. Responsible for maintaining adherence to all clinical policies, procedures, and standards as directed in the Clinical Training Manual. This includes ensuring the following:
- Service clients are scheduled to maximize productivity of the center
- Providers work on schedule
- Clients sign all proper intake and release forms
- Providers follow standards for servicing clients
- Treatment Rooms adhere to local health and Company standards
- Prescribed treatment plan is being followed program is being followed
5. Responsible for the overall operation of the clinic, the satisfaction of its clients and the well-being of its employees.
- Maintains employee turnover percentage at or below the company standard
- Is proactive in the recruiting and hiring of quality candidates to staff the operation. Positions are filled in a timely manner so the operation of the clinic is not disrupted
- Adheres to the guidelines set forth in the Operations and Policies and Procedures Manuals, in regards to the procedure for hiring or terminating employees
- Ensures all personnel files are complete, current and filed in a secure, locked location
- Ensures all employees are adhering to all policies and procedures as detailed in the Employees Handbook, Policies and Procedures Manual and Operations Manual
- Confronts personnel problems with tact, firmness, and diplomacy and ensures all disciplinary actions are objective, fair and consistent
- Provides consistent feedback on employee performance and offers guidance and direction for continued development through the Personnel Development Program
- Maintains a pleasant, safe and productive work environment, while maintaining a high morale in the center
- Presents and maintains a polished, professional business image at all times and ensures the same for the entire staff
- Calculates and audits payroll bi-weekly then transmits to Payroll by close of business on Saturday
- Ensures cleanliness and maintenance of entire clinic while adhering to Evolve Med Spa standards
- Ensure all clinic and staff licenses are current.
- Ensures clinic is secure at the end of each day
- Deals with client issues in an expedient and fair manner, providing superior customer service
- Maintains proper inventory of clinical and retail products
- Ensures basic inventory levels are met and requisition forms are in use
- Exhibits sound judgment in decision making for the general good of clients, employees and the company
- Uploads proper reporting daily, weekly and monthly
6. Performs other reasonable duties as required
SKILLS AND REQUIREMENTS:
- University degree with a major in business preferred or equivalent working experience
- Three to four years of background in Aesthetics, hotel, restaurant, dating or other service related industries
- One to two years of sales duties
- One to two years of supervisory experience
- Exceptional customer service and rapport building
- Strong written and verbal communication skills
- Problems solving
- Time management
EFFORT:
- Ability to manage multiple priorities and work under pressure
- Concentration required when reviewing financial statements and sales reports
- Lifting up to 20 pounds
