As a Front Desk Staff member at 4EverYoung Bridgeport, you will be the first point of contact for clients seeking our services. You will play a pivotal role in ensuring exceptional customer service, managing administrative tasks, and maintaining the smooth operation of the clinic's front desk area.

Key Responsibilities:

  • Client Reception: Greet clients warmly as they arrive at the clinic, ensuring they feel welcome and comfortable. Answer inquiries regarding services offered, appointment availability, and general clinic information in a professional and friendly manner.
  • Appointment Scheduling: Efficiently manage appointment bookings using our scheduling system. Coordinate with clients to schedule consultations, treatments, and follow-up appointments based on their needs and availability. Confirm appointments via phone, email, or text message to minimize no-shows.
  • Client Intake and Registration: Collect and accurately record client information, including personal details, medical history, and consent forms. Ensure all necessary paperwork is completed prior to appointments and update client records as needed.
  • Payment Processing: Handle client payments for services rendered, ensuring accuracy and confidentiality. Process transactions using our payment system, issue receipts, and maintain cash handling procedures according to company policies.
  • Administrative Support: Assist with various administrative tasks to support the smooth operation of the clinic, including filing paperwork, managing inventory of office supplies, and organizing client records. Collaborate with other staff members to ensure efficient workflow and timely completion of tasks.
  • Client Communication: Communicate with clients regarding appointment reminders, follow-up care instructions, and promotional offers via phone, email, or other communication channels. Address client concerns or complaints promptly and escalate issues to the appropriate personnel if necessary.
  • Maintaining Cleanliness and Organization: Keep the front desk area and waiting room clean, organized, and inviting for clients. Ensure all promotional materials, brochures, and displays are neatly arranged and up to date.

Qualifications:

  • Previous experience in a customer service or receptionist role, preferably in a medical or wellness setting.
  • Excellent interpersonal and communication skills, with the ability to interact professionally with clients and colleagues.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
  • Proficiency in computer applications, including scheduling software, Microsoft Office suite, and basic office equipment.
  • Understanding of medical terminology and privacy regulations (HIPAA compliance) is desirable but not required.
  • Willingness to learn about anti-aging treatments, skincare products, and wellness services offered by the clinic.

Working Conditions:

  • This is a full-time or part-time position based at the front desk of 4Everyoung Bridgeport.
  • The role may require occasional evening or weekend shifts to accommodate client appointments and clinic hours.
  • You will work in a fast-paced environment, interacting with clients, staff members, and healthcare professionals on a regular basis.
