Job description

Essential Functions:

  • Responsible for processing all New Business transactions for new & existing clients as it relates to market driven accounts, annuities & life insurance.
  • Record notes from client conversations and route detailed messages in a timely and accurate manner to appropriate team members
  • Assist clients with questions and service requests with a variety of products & services including but not limited to reallocations, annual statements, misc company correspondence, address & beneficiary changes.
  • Database management (create new contacts, document status of follow-ups, update files, update activities in client management system)
  • Input accounts into Redtail, prepare annuities for delivery.
  • Setup annuity delivery as needed.

Customer Service

  • Friendly correspondence with clients via phone, email and in person.
  • Provide clients with a weekly progress update.
  • Timely response to inquiries for information.

Administrative/ClericalOverall administrative duties (sort faxes & mail, scan documents, filing)

  • Export, format and deliver reports as requested from CRM / Excel
  • Make call outs as needed for New Business follow ups, lead’s, etc.

General Responsibilities:

  • Actively seek to add and enhance knowledge regarding developments and current trends in the financial industry that will serve JAG’s business needs
  • Flexible to accept and proactive to seek additional assignments as requested by management
  • Request counsel from supervisor on concerns and issues as appropriate
  • Collaborate with JAG staff to maintain a team environment
  • Arrive & depart from work timely per schedule
  • Uphold JAG standards of professionalism while representing JAG
  • Thrive in a time-sensitive environment and be adaptive to change
  • Other duties as assigned

  • Positive first impression for incoming calls and visitors
  • Tasks are completed timely, accurately and within deadline
  • Redtail CRM database documentation is accurate
  • Effective and accurate communications that represent JAG positively
  • Ability to adapt while accepting and supporting management decisions
  • Collaborative relationships are developed and maintained with stakeholders, affiliates, vendors, staff (internal and external) and members

Minimum Requirements: Knowledge, Skill and Ability

  • 3-5 years minimum experience working in a New Business/Service role within the investment services industry.
  • 2+ years of experience working in financial services
  • Outstanding customer service skills and ability to meet deadlines
  • Effective communication skills (verbal, written and body language)
  • Ability to work independently with high-level productivity and attention to detail
  • Ability to problem solve rationally and learn new programs quickly
  • Proficient in MS Office Suite (Word & Excel)
  • Comfortable with management of CRM platforms, Redtail Client Database a plus
  • Knowledge of electronic scanners and general office equipment
  • Ability to interpret a variety of instructions either written, oral, or electronic formats
  • Excellent time management and organizational skills, seeks to improve efficiencies within tasks
  • Ability to prioritize and manage work to effectively and efficiently accomplish tasks while managing multiple projects at the same time and delivering exceptionally friendly service
  • Administrative support education or certificate, preferred
  • Financial industry license or education preferred, or willingness to obtain Life license
