JOB SUMMARY:
The CSR position is primarily responsible duties to include offering administrative support across the organization. This position will coordinate front-desk activities, distributing correspondence and redirecting phone calls.
ESSENTIAL FUNCTIONS:
1. Answers calls politely; accurately identifies needs of caller and transfers to the appropriate staff within the organization.
2. Greets visitors, monitors lobby traffic; assists visitors with appointment check-in and making of additional appointments; alerts appropriate staff of visitors; accepts deliveries; opens and secures entry to the building, knowledge, and implementation of emergency procedures.
3. Maintains organized files; transfers older files to storage; purges expired files as directed so that records are maintained according to applicable regulations and information can be readily located, prepares documents for scanning, scans appropriate documents into Electronic Health Record (EHR).
4. Enters appropriate data in Electronic Health Record software including but not limited to client demographics, billing/pay source information, and other related data; maintains components of electronic schedule for clinical staff and utilizes electronic schedule for scheduling of client appointments.
5. Distributes interoffice and regular mail; processes mass mailing projects including stuffing and addressing envelops, affixing postage and delivery to the post office if needed; ensures that postage is available in the meter to meet the needs of the organization.
6. Replaces toner, adds paper, troubleshoots malfunctions and alerts appropriate individual of needs for supplies and/or repairs of copier and fax machine to insure continuous availability of functional equipment.
7. Types correspondence; creates forms and organizational charts; maintains lists and directories; formats and updates proposals, manuals, or reports, utilizes appropriate software for maintenance of appointment schedules. Activities satisfy the typing needs of clinical and administrative staff.
8. Responsible for completing competency-based workplace safety training as assigned by the agency.
