Position Overview
HighVista is seeking to hire a Client Service Analyst. The ideal candidate is a team player with experience working in a fast-paced environment and who has previously held a similar position within the investment management industry or in fund administration. He/she will be responsible for monitoring and responding to day-to-day client inquiries requiring close collaboration with our third-party fund administrators and internal teams. A successful candidate will assist in many varied aspects of servicing clients, including but not to be limited to ongoing investor requests and questionnaires, oversight of the firm’s client portals, coordination with the firm’s fund administrators, and support for the Client Relationship Management (CRM) system.
Responsibilities
Monitor and respond to investor inquiries and ad hoc requests
- Respond to investor inquiries in a timely manner, and in conjunction with the Relationship Management team as needed
- Captain the on-time completion and delivery of ad hoc requests and questionnaires by collaborating with the appropriate teams across the firm
- Be proactive and strategic in seeking to improve processes for recurring client requests and deliverables
Liaise with HighVista’s external fund administrators
- Coordinate with fund administrators around capital activity, reporting timelines, AML/KYC requirements, wire instruction updates, transfers/assignments, and other investor requests
- Manage internal pipeline of flows in conjunction with fund administrators
Oversight of Investor Portal and support for CRM system
- Manage the investor portals to ensure investor information is maintained and reporting and fund communication is posted in a timely and accurate manner
- Ensure required information flows back to internal CRM system
Requirements
- Bachelor’s degree required
- Previous experience in a similar Client Service or operations role within the investment management industry or fund administration
- Candidate must be able to work in the Boston office Monday through Thursday, but currently has the option to work from home on Friday
- Highly detail-oriented with excellent organization and prioritization skills
- Ability to work independently and exercise good judgment
- Team player with proven ability to collaborate across functions
- Strong oral and written communication skills; excellent interpersonal skills
- Fluency in Microsoft Office suite of products (particularly PowerPoint and Excel)
- Experience working with CRM systems and investor portals
